Alluvion, a Vaco company, is hiring for a Benefits & Compensation Manager in Reston, VA. This is a direct hire role paying $80-$95k. The Benefits and Compensation Manager will be responsible for the administration of the Benefits and Compensation Programs, including medical, dental, vision, life insurance, wellness, COBRA, leave administration, 401k, Deferred Compensation, and ACA compliance. This job is a unique blend of strategy, administration, and compliance. You will be the project manager for our company-wide compensation, wellness and open enrollment processes. Your work includes supporting the day-to-day administration such as: reconciling payroll deductions and invoices, handling escalated employee benefit matters, maintaining the benefits administration module of the UltiPro HRIS system, working with internal staff to create, modify, and send vendor interfaces and maintaining compliance with all relevant compliance regulations. You will also participate in salary and benefit surveys, benchmark best practices, support the annual compensation and benefit renewal planning processes, and manage a variety of outsourced vendor relationships. ESSENTIAL DUTIES AND RESPONSIBILITIES Ensures the development, management, and overall administration of controls around compensation and benefits guidelines. Manages and assists in the development of incentive programs and the administration of performance review or merit-rating programs. Lead the day-to-day management of all benefits, including 401(k), medical, dental, vision, life insurance, wellness, COBRA, leave administration, Deferred Compensation, ACA compliance, Short Term Disability, Long Term Disability, and Life Insurance plans. Serves as primary contact for plan vendors and third-party administrators. Coordinate transfer of data to external contacts for services, premiums and plan administration. Evaluate and revise internal processes to reduce costs and increase efficiency. Lead vendor negotiations and implement an effective open enrollment process and wellness programs, ensuring that the company is offering best-in-class programs in a cost-efficient manner. Manage the effective communication of compensation, benefits and wellness programs to achieve employee awareness, understanding, and appreciation of the programs offered. Lead, develop and implement internal communications related to compensation and benefits programs that provide all staff members with timely updates on policies and procedures and operational changes and open enrollment periods. Work with the HR team to design and implement employee trainings as needed, supporting benefits enhancements, updates and changes to policies and procedures, and new-hire orientations. Serve as the primary point of contact for all compensation & benefits activities throughout the employee lifecycle. Manage the day-to-day compensation and benefits programs including but not limited to salary grading, annual salary reviews, health and wellness benefits, life and disability insurance, retirement and leave of absence programs. Take the initiative, lead, promote and follow up on all benefits related items to completion and internal customer satisfaction. Evaluate and compare compensation and benefits programs against different benchmarks, evolving legislation and internal business needs. Make program recommendations for review by senior management and lead the implementation of new programs or vendors as directed. Develop policies and procedures to ensure compliance with federal, state, and local employee benefits regulations; prepare government, participant and salaries reporting, maintain knowledge of evolving benefit law and recommend changes to programs and plans to minimize risk. Develop and monitor administrative procedures that result in the accurate enrollment, payment, and processing of employee salaries, bonuses and benefit transactions; develop and monitor internal data audits, work collaboratively with HR peers, finance and systems management in areas of financial recordkeeping. Develop and maintain program cost and performance metrics for use in evaluating program effectiveness and identifying opportunities for enhancements. Develop and execute employee communication strategies, methods, and materials to enhance employee understanding and engagement with compensation and benefit programs. At the same time, ensure the due diligence with confidentiality of employees and programs information. Oversee open enrollment process including technical administration, vendor coordination, and the development of a targeted communication strategy. Work collaboratively with vendors to deliver compensation and benefits to employees; monitor and evaluate vendor performance and participate in vendor selection projects. Act as a role model in terms of service mindset and ownership of all things compensation and benefits related. Collaborate and coordinate good communication with team members, end users, peers and internal customers. Lead internal and external audits regarding benefits and compensation programs. Ensures all personnel actions are thoroughly reviewed and processed in a consistent, accurate and timely manner. Leads the annual 401(k) and Frozen DB Plan audits, compiling and requesting information as needed. Effectively interprets FMLA and ADA implications as they relate to leaves of absences/disabilities. Prepares annual EEO-1 Report and assists in preparing the annual Affirmative Action Plan. Administers the Vehicle Program including enrollments, terminations, preparing and distributing monthly and quarterly reports to employees, management, and the Payroll Department. Administers the Service Awards program. Administers the Tuition Reimbursement program. Assists with various research projects and/or special projects. Ensures compliance with all federal, state, and local employment laws. Performs other related duties as required. SUPERVISORY RESPONSIBILITIES No supervisory responsibilities. Must be proficient in Microsoft Office (Word, Excel, PowerPoint, and Outlook). Project management and execution skills. Strong internal and external customer service focus. Maintain confidentiality at all times. Strong work ethic with the ability to adapt in a fast-paced and complex work environment. Work independently and proactively with minimal supervision. High level of accountability and ownership of responsibilities. EDUCATION and/or EXPERIENCE 5-7 years of progressive experience in benefit plan analysis and administration. 3+ years' experience in benefit plan management. 3+ years' experience in compensation planning. Advanced Excel Skills (eg, formulas, pivot tables, v-lookups, macros). Bachelor's degree in Human Resources Management or related field required. This position requires extensive knowledge of current benefit regulations, outstanding customer service and communication skills, vendor and project management skills and extreme attention to detail. This position will be expected to be in the Reston office and travel to other locations as needed.
