JOB SUMMARY The Accounts Payable Specialist is responsible for providing full cycle accounts payable processing as well as maintaining and analyzing financial reports, researching and resolving payment discrepancies, and assisting field managers in managing payables and related reports. This position also oversees the corporate credit card programs. ESSENTIAL FUNCTIONS High volume, accurate, and on-time data entry of vendor invoices ensuring valid prior approvals and manually attaching scanned supporting documents to the voucher in the system. Provide ongoing training of field employees on Accounts Payable related subjects and assist by directing them to available reports and training resources. Research, analyze, and resolve complex payment and vendor issues. Set up and maintain vendors. Ensure that proper procedures are followed for vendor setups, approval, and maintenance. Reconcile various accounts and vendor statements, process corrections, and prepare journal entries as needed. Generate daily, weekly, and monthly reports. Process utility invoices and vehicle registrations and maintain master lists. Email remittance notices and prepare checks for mailing. Obtain additional signature for checks above a certain threshold. Respond to inquiries (phones/emails/in person) for AP department. Answer all routine and non-routine questions. Assist in the month-end/year-end closing and accrual process. Function as corporate credit card program administrator including issuing and closing cards, maintaining spend limits, assisting cardholders with issues, monitoring compliance, and monthly reporting. Function as virtual credit card program administrator including recruiting and setting up vendors, monitoring spend, reconciling payments, resolving issues, and monthly reporting. Perform ad hoc research and analyses as requested by management. Identify, develop, and implement changes to processes to improve productivity and increase efficiency. Assist with supervising and training the AP team. Perform other duties as assigned. SKILL AND KNOWLEDGE REQUIREMENTS Bachelor's degree in an accounting or business-related field preferred. 3-5 years of full cycle accounts payable experience and ability to apply general accounting principles and to coordinate major administrative functions. Prior supervisory experience. Strong communication skills. Demonstrated talent for interacting with a wide variety of people. Excellent organizational skills with the ability to coordinate multiple priorities. Ability to problem solve. Ability to maintain confidentiality. Attention to detail and the ability to work under time constraints. Proficient with Microsoft Office (Word, Excel, and Outlook) required. Proficient with PeopleSoft or similar ERP system preferred. PHYSICAL AND MENTAL REQUIREMENTS Ability to sit at a desk in front of a computer for the entire work day. Reading and writing work-related documents in English. Speech recognition and clarity, including the ability to understand the speech of customers and coworkers and the ability to speak clearly so that you can be understood by customers and co-workers in English. Constantly communicates and receives verbal communication with other employees. Lifting, carrying, and pushing up to 15 lbs. occasionally, up to 30 lbs. seldom. Occasionally stoop, kneel, or crouch.
