Job Announcement

Serves as reception clerk for the Judicial Chambers of the Circuit Court of Fairfax and operates as the main gatekeeper for the 15 Judges of the Virginia's largest trial court. Provides various administrative support to include performing data entry and word processing, maintaining court records and files, serving as a receptionist, and assisting internal and external customers of the Circuit Court. Specific duties include but are not limited to:

  • Assists attorney’s and the public in the chambers reception area to determine the type of business they have with the Circuit Court and direct them to the appropriate areas of the court.
  • Acts as the liaison between the calendar control judges and the attorneys/PRO SE parties who want to appear before them. Ensures that all the attorneys or parties are present or have received notice of the hearing and that the calendar control order form has been completed prior to admitting attorneys to see the judge. Prepares calendar control order forms when necessary. If there is a PRO SE party involved, requests a deputy from the sheriff’s office to accompany the PRO SE party when appearing before a judge. For telephonic hearings before calendar control judge, ensures that all attorneys and/or PRO SE parties are on a conference telephone call prior to transferring the call to a judge.
  • Reviews orders submitted by police officers and detectives, and then presents the orders to the calendar control judge for entry.
  • Ensures the confidentiality of court records in accordance with the Code of Virginia and the Rules of the Supreme Court.
This position requires skills in diplomacy, tact, discretion, communication, precision, timeliness, thoroughness, and clarity in written communication. The ideal candidate must demonstrate dependability, professionalism, great attention to detail, and excellent organizational and customer service skills. Must be able to work in a fast-paced environment to meet multiple mandated deadlines.

Note: This position is an appointed position. Employment is at-will serving at the pleasure of the Clerk of the Court.

  • Knowledge of standard administrative procedures, practices, and equipment;
  • Knowledge of common legal terminology, documents and procedures;
  • Ability of comprehend applicable Virginia Code sections and laws;
  • Ability to process a considerable volume of record work in an accurate and timely manner;
  • Ability to perform data entry, scanning, indexing and retrieval with computer information systems;
  • Ability to communicate courteously and effectively, both verbally and in writing;
  • Ability to develop and maintain effective working relationships with a variety of individuals, including the judges, general public, members of the legal and business community, and department staff.


Employment Standards

MINIMUM QUALIFICATIONS:
Any combination of education, experience and training equivalent to high school graduation; Plus two years of experience providing administrative support, technical support, customer service, or working in a court or legal environment.

CERTIFICATES AND LICENSES REQUIRED:
Not applicable.

PREFERRED QUALIFICATIONS:
  • Experience providing administrative support in a court or the legal field.
  • Excellent customer service and interpersonal skills.
  • Dependable, punctual, and able to work flexible working hours.
  • Basic knowledge of Microsoft Office applications, specifically MS Word, Excel, and Outlook.
  • Must be proficient in handling office equipment including, printers, copiers, fax machines, multiple lined telephones, etc.

NECESSARY SPECIAL REQUIREMENTS:
  • The appointee to the position must satisfactorily complete a criminal background check.
  • All newly hired employees will complete an attestation online related to their vaccination status against COVID-19 or a medical or religious exemption (forms provided by the agency) on their first date of employment or shortly thereafter. Employees who are not vaccinated, including persons with a medical or religious exemption, shall submit to weekly testing.

PHYSICAL REQUIREMENTS:
Must be able to input and retrieve data from a computer. May be required to stand for extended periods of time. Must be able to lift boxes or files weighing up to 20 pounds. All duties performed with or without reasonable accommodations.
