Position Overview | The Program Services Coordinator builds and maintains collaborative working relationships with internal/external clients and vendors to support Close Up program requirements. They book, schedule and maintain reservations for student programs, including theater, meals, and attraction tickets for academic components in Washington, DC and a few other US locations. The Program Services Coordinator remains flexible and organized while juggling multiple bookings and priorities, at times in the evening and on weekends. Reports to the Program Services Manager. Responsibilities Perform on-site venue and attraction inspections to ensure their adherence with program requirements Schedule bookings and secure reservations for groups of 100 participants both in Washington, DC and other US locations, updating and maintaining them as required Build and maintain collaborative working relationships with program staff, other internal departments, and venues/vendors including: restaurants, theaters, attractions, DJs, and photographers, among others Reconcile and pay vendor invoices in a timely manner, according to Finance specifications Work with managers to stay within budget for all program components Provide on-site support and/or training for program staff as needed, typically evenings and weekends Minimum Qualifications Bachelor's degree from an accredited college or university Demonstrated expertise in scheduling, hospitality, group reservations, event planning, project management or other relevant experience Technology savvy with ability to learn web-based programs; advanced proficiency with Microsoft Word and Excel Ability to work some evenings and/or weekends to support program schedule Ability to provide proof of COVID-19 vaccination in compliance with company policy Willingness to submit to a post-offer credit and criminal background check in accordance with federal regulations Authorization to work in the US for any employer Other Qualifications Knowledge of the Washington, DC area preferred Willingness to use personal vehicle for on-site venue inspections (reimbursement provided) Outstanding organizational skills and attention to detail while managing multiple priorities Excellent interpersonal skills and demonstrated ability to build relationships with internal and external stakeholders Ability to solve problems in a timely manner using negotiation plus strong verbal and written communication skills Compensation and Benefits | In addition to meaningful and rewarding work, Close Up provides a competitive compensation and benefits package including medical, dental, vision discount, life/AD&D insurance, short- and long-term disability insurance, 403(b) retirement savings program, paid time off, Metro transportation subsidy or free garage parking, flexible spending health care and dependent care accounts, free gym access, and a positive work environment.
