Job Description

Provides general administrative assistance and support in preparation, documentation, and monitoring of the operating and grant requirements as it relates to finance for the Virginia Quality Rating Improvement System (VQRIS). This position will require ongoing communication and collaboration with community agencies and partners, and the Office of Financial Services to successfully support management with all aspects of the program.

Qualifications

Education: High school diploma or equivalent. Bachelor's degree preferred.

Experience: Minimum of 3 years of related work experience within the specialized field with increasing levels of responsibility is required.

Knowledge, Skills, and Abilities:

• Strong skills in MS Office, Excel Pivot Tables, report creation using advanced Excel functions, charts and graphs, and PowerPoint Presentations.

• Excellent interpersonal skills

• Strong communication skills, both oral and written

• Ability to solve problems with strong analytical skills

• Strong customer service oriented

• Attention to detail

Highly Desired Experience:

• Experience with grant management

Essential Functions

• Supports the Citywide Early Childhood Coordinator in developing internal financial and budget management processes, procedures, and internal controls to maintain accurate records for the grant.

• Supports all application and reporting requirements for the VQB5 grant related to finance and budget.

• Monitors, organizes, files, and responds to inquiries related to monthly and quarterly finance-related reports and invoices for VQB5.

• Monitors requisitions for VQB5 professional services and materials.

• Manages timesheets and payments/reimbursements submissions for VQ Technical Assistance Specialists.

• Solicits documentation and maintains a wide variety of files and records (manual/computer; confidential/non-confidential) for the purpose of providing documentation in accordance with administrative and legal requirements.

• Supports the Citywide Early Childhood Coordinator in the development and review of the VQB5 budget submission and other reports.

• Attends meetings and training for the purpose of keeping abreast of the current internal systems and processes related to the maintenance of financial records.

• Assists other personnel as may be required for the purpose of ensuring an efficient and effective work environment.

Clearances

• Criminal Justice Fingerprint/Background Clearance.

• Tuberculosis Skin Test.

Public Health Compliance
  • Proof of COVID vaccination. Exemptions for religious/medical will be reviewed.
  • Must follow safety and health protocols.
