Position Information
Arlington County is seeking a Facilities and Office Operations Coordinator to plan, organize, and coordinate all library facilities maintenance and management across 8 library locations. The position is an integral part of the Arlington County Public Library's day-to-day mission and operations. The position will supervise four staff members and oversee office operations including book delivery/receiving and cash handling .

Specific duties include:

  • Acting as the primary liaison to Arlington County Department of Environmental Services and Arlington Public Schools to address, monitor, and resolve facility and auto fleet issues:
  • Overseeing a delivery team that moves the library collection among 8 locations, 6 days a week to ensure high customer service to library patrons;
  • Overseeing cash handling and supply procurement for the library system;
  • Participating in the County's risk management safety committee and ensuring compliance with all OSHA and VOSH regulations;
  • Managing or using County contracts that fall under facilities management;
  • Managing staff desk-based phones and cellphones;
  • Planning for and managing variable workload demands and priority requests;
  • Assigning, reviewing and monitoring staff's work to identify problems in accuracy, adequacy, adherence to procedures and taking corrective action when necessary;
  • Overseeing attendance and leaves approval which includes the approval of sick and vacation schedules;
  • Completing and signing performance appraisals, advising employees of their performance and progress in meeting standards and recommending merit increases;
  • Preparing formal and follow-up actions for most supervisory personnel functions;
  • Coordinating with other units to establish or improve procedures;
  • Mediating between units and staff in determining work priorities; and
  • Performing special assignments as required.
The ideal candidate for this position will be a self-starter, have strong interpersonal skills, and do well juggling and prioritizing competing priorities.

Selection Criteria
Minimum: Completion of the requirements for graduation from a standard senior high school or vocational school, a GED certificate, or the equivalent plus three years of progressively responsible, professional office and/or maintenance experience, including one year in a position of work leader or coordinator in office management or facilities management.

Substitution: Successful completion of college coursework from an accredited college or university can be substituted for the experience requirement on the following basis: 2 years = six months of experience; 4 years = 1 year of experience. Education may not substitute for more than one year of experience. Additional experience may be substituted for up to two years of high school on a year for year basis.

Desirables: Preference may be given to candidates with one or more of the following:

  • Contract management principles and practices;
  • Applicable Federal, State, and local laws, rules, regulations, codes, and/or statutes such as OSHA and VOSH;
  • Budgeting principles and practices; and
  • Preventative maintenance principles and practices;
