We specifically focus on the role of communication in either fueling or counteracting violence. Our work in the US is focused on preventing political and identity-based violence by equipping leaders from different sectors with tools for violence prevention and response and conducting and translating relevant research.Throughout our work, we collaborate with a range of academics, researchers, and practitioners globally. We are also deeply committed to our organizational culture, which includes values of co-creation, discovery, do no harm, impact, and wholeness.Over Zero is seeking an Operations Manager. This role reports directly to the Executive Director and is an exciting opportunity for someone who is passionate about the nuts, bolts, and processes behind mission-driven work. Position Summary: The Operations Manager is a systems and task-driven position working in support of the organizations mission. This role will be pivotal in supporting the organizations operations, growth, and culture by managing day-to-day operational and administrative functions, supporting project planning and implementation, creating systems that contribute to the efficacy and efficiency of the team, and providing project management support. This person will also work closely with our fiscal sponsor, Hopewell Fund, which handles all backend administrative tasks associated with grants and contracts; HR; legal compliance and contracting; and accounting and budget tracking.If you enjoy organizing systems, processes, and people, care about building a compassionate and supportive workplace, and appreciate working with a team thats driven to build more just and peaceful societies, this may be the job for you.Essential Responsibilities and TasksEssential responsibilities and tasks for this role include but are not limited to the following. As noted above, these tasks involve liaising with Hopewell Fund (Over Zeros fiscal sponsor), and some administrative support will be provided to the Operations Manager:1. Project planning, tracking and documentation:Manage organization-wide project planning, tracking, and documentation, working directly with project leaders across the organizationWork with the Executive Director and project leaders to review progress across projects, identifying needs and challenges, and managing workflowDevelop program management templates for implementationSelect, implement, and onboard fellow team members to relevant softwares for project management, tracking, and coordination as neededManage the calendar for grant applications, reporting requirements, and deadlines; organize, schedule, and run grant reporting meetings with contributing staff2. Budget management and forecastingTrack project budgets and needs using monthly expenditure reports produced by our fiscal sponsor; track budget vs. actuals across projectsWork with Executive Director on budgeting and forecastingAssisting Executive Director with preparation of budgets for funding proposals and reporting3. Vendor and contract managementResearch possible vendors as neededManage vendor processes, including liaising with fiscal sponsor to generate and execute contracts, collecting relevant documents from contractors, and managing and tracking vendor payments as well as contract expiration dates and renewal needs4. Systems, security, administrative managementManage organizational subscriptions (eg Zoom, Squarespace, Calendly) and billingManage list of organizations physical assets and the acquisition of new physical assetsKeep central repository of organizational subscription informationManage organizational software updates and upgradesResearch and implement additional capacity-building tools (eg Otter AI, Trello) for the teamManage Over Zeros security planning, including digital security protocols, vetting of cold emails, COVID policies, and media monitoring.Manage Google Drive (including identifying protocols/organization of documents) and external-facing products - eg marketing materials, one pagers, logos, and so on.5. People (HR) and team process coordinationWork with the Executive Director to ensure that Over Zeros values are manifested across the organization (eg in team meetings, hiring and onboarding processes, etc.)Coordinate hiring and onboarding for new staff (setting up the relevant meetings, making sure they go through full process)Coordinate performance management and review processesEnsure all Hopewell announcements/ requirements are shared with and implemented by the team (eg benefits election, mandatory trainings, policy changes).Coordinate full-team meetings and retreats and manage processes that involve the full teamWork in tandem with the Executive Director to support staff with professional development goals and financial planning for any necessary growth opportunities6. Work alongside the Executive Director to serve as a liaison to Hopewell Fund supporting staff in support of all of the above priorities.RequirementsWe are looking for someone who is passionate about Over Zeros mission, adaptable, self-motivated, detail-oriented, skilled at coordinating the moving pieces of multiple projects simultaneously, experienced in project management and operations, and excited to continue to shape a supportive and thoughtful work culture.Minimum qualifications:Strong interest in working to prevent political and identity-based violence and other forms of group-targeted harm4+ years of relevant experienceStrong project management skillsProven track record of successfully managing and tracking budgets and timelinesExperience managing multiple projects and integrated projects simultaneouslyKnack for implementing and improving systems/processesExcited to work in a small and dynamic team structureTeam player with excellent interpersonal skillsExperience with a variety of software programs including Proficiency in Google Suite, Microsoft Word, Excel, Powerpoint, Keynote, and project management softwaresFamiliarity with best practices for a diverse, equitable, and inclusive work culture(Note: Experience in at least a majority of the key areas of responsibility is required, with at least some exposure and a demonstrated ability to learn about others).BA or equivalentMinimum competencies:Strong organizational skillsStrong written and verbal communication skillsStrong planning and analytical skillsStrong attention to detailFlexible and adaptive to manage shifting priorities and deliver resultsAbility to manage priorities and workflowProactive approach to solving problemsProactive and adept at anticipating and planning for future needsPreferred qualifications:7+ years of experienceExperience establishing and implementing operational systems and processesExperience assisting in developing and establishing goals, objectives, and strategies for programsExperience supporting the operational side of organizational growthDemonstrated experience in helping to manage or improve the impact and effectiveness of an organization, department, or teamSalary and Benefits: Salary will be determined commensurate with experience, but is expected to be $60,000-$75,000 (with more senior-level experience required for the higher end of this range). Generous benefits package and paid time off, personal days, and holidays.Location: This is a remote position.
