This is a part-time position that will directly assist the owner, oversee a team of Rascal Wranglers, and manage the business' day-to-day operations. We are rapidly expanding our service and need an organized go-getter who thrives in a fast paced environment.RoleThe Operations Manager is the glue that keeps the business running! In addition to ensuring operations run smoothly day-to-day, this position will also act as an Assistant to the owner and help with administrative tasks. Additionally, this position will be the key customer liaison and a strong leader that communicates updates to the rest of the team.Remote WorkAccepting applicants in Bay Area, or remote. Clients must be fluent in English and at max 3 hours ahead of our Pacific time zone. Must be available to check in several times a day during the hours of 8am -7pm on weekdays.Responsibilities include Managing daily schedule and communicating updates and requests to the teamProviding administrative support to owner and reporting daily status updatesEnsuring staff start shifts on time and helping them with any issues or questions that pop up during their shiftsResponding quickly to customer questions or requests and updating the team accordinglyManaging the logistics behind our van rosters to ensure dogs are correctly assigned based on location and size for optimized routesManaging requests for overnight pet sitting and communicating details to the teamEnsuring client information is up-to-date and communicating with team to update as needed Ensuring a smooth and professional onboarding process for new clientsRunning payroll as well as tracking expenses and monthly revenue Managing van fleet, including: tracking overall vehicle health, scheduling maintenance appointments, tracking expensesCompensationApproximately 15 to 25 hours per week$26-30 per hour (DOE)Work will primarily be done on weekdays (the daycare is only open Mondays through Fridays), but up to 2 hours total over the weekend may be required to respond to client messages and ensure any last minute schedule changes are communicated to the team prior to Monday shifts.Required Skill SetsHighly organized and task-oriented mindset that is able to keep track of multiple moving pieces and delegate and manage tasks assigned to othersVery detail-oriented and a critical thinker that proactively seeks information Problem solving guru that gets excited by logisticsSchedule-based mindset that gets excited by color-coordinated calendars, deadlines, and being on timeExceptionally tech savvy, and willing to try and learn new software to help streamline communication, workflows, and processes in a small business environmentExcellent communicator with strong writing and verbal skills that can update the team and respond professionally and compassionately to client messages and requestsA creative go-getter that is eager to find opportunities to improve and grow a business through marketing initiatives, business strategy, and process enhancementsStrong leader and independent thinker that is capable of making fast, thoughtful decisionsFamiliar with Slack, Google Drive (including Calendar, Sheets, Docs, etc.), and Asana (these are critical to manage current day-to-day operations) Bonus Skill Sets & ExperienceExperience with payroll and basic revenue/expense trackingExperience with Mailchimp, Typeform, Zapier, Smug Mug, and scheduling software is a plus (we use Time To Pet), but not criticalAbout The BusinessFounded in 2001, Vicki's Little Rascals is the ultimate doggy daycare experience in the greater San Mateo area.
