Job Announcement

Serves as a member of the logistics team responsible for a variety of duties including, regional mail operations, room reservations, vehicle coordination, distribution of client resources, updating and retrieving data into databases and other tracking systems, managing office equipment and supplies, submitting facility requests and processing case records. Develops and maintains effective working relationships with agency, county, and external customers.

  • Opens, sorts, date stamps, logs, and distributes incoming US mail, interagency mail, courier mail, and drop box mail. When appropriate, input and extract data from the Virginia Multiple Systems Inquiry (MSI) and Spider, to obtain information on prior services and present case activity status to determine proper distribution of mail. Receives, tracks, and distributes client mail, including checks.
  • Monitors, orders, and distributes office supplies. Receives requests from multiple programs. Ensures agency guidelines are followed and appropriate approvals are obtained prior to placing orders. Receives orders, verifies content, and distributes to appropriate programs/divisions. Coordinates return of items received in error, damaged, or no longer needed.
  • Processes and issues Electronic Benefit Transfer (EBT) cards to clients when requested by the division of Public Assistance and Employment Services. Follows all state mandates for regulations and maintains required logs and documents.
  • Develops and maintains effective working relationships with agency, county, and external customers. Contributes suggestions for improving work processes and to address work related problems

Note: The assigned functional areas of the position are general administrative support and customer service/public support.

Employment Standards

MINIMUM QUALIFICATIONS:
Any combination of education, experience and training equivalent to high school graduation and two years of experience providing administrative support in the assigned functional area(s).

CERTIFICATES AND LICENSES REQUIRED:
Valid driver's license.

PREFERRED QUALIFICATIONS:
  • Experience with Microsoft Office Suite.
  • Experience with multitasking in a fast-paced work environment.
  • Ability to communicate effectively in both oral and written form.
  • Experience with processing and handling confidential information.
  • Experience with providing in-person customer service in an office setting.
  • Bilingual in English/Spanish is helpful due to the number of bilingual clients this position assists.
NECESSARY SPECIAL REQUIREMENTS:
The appointee to the position must satisfactorily complete a criminal background check, credit check, a driving record check, and a Child Protective Services check.

All newly hired employees are required to be fully vaccinated as a condition of employment or obtain approval of a medical or religious exemption prior to their start date. Proof of an exemption or vaccination status will be required during the pre-employment onboarding process. New employees who obtain an exemption from the vaccine mandate for medical or religious reasons will still be subject to the weekly testing requirement. Otherwise, vaccinated employees will complete the attestation online in the first day of employment.

PHYSICAL REQUIREMENTS:
Duties are generally sedentary and performed in a normal office environment. Ability to communicate clearly and concisely, both orally and in writing. Ability to use automated technology. Sufficiently mobile to deliver mail, messages and case records. Ability to lift and carry heavy case records. All duties performed with or without reasonable accommodations.
