EVENTS and FACILITIES COORDINATOR

Location:         Calvert Marine Museum, Solomons, Maryland, USA
Salary:              $45,000 - $53,000 Annually
Closing Date:   Open until filled

JOB SUMMARY
The Events and Facilities Coordinator is responsible for booking and coordinating events, as well as the management, marketing, and supervision of the museum’s rental facilities, including the Cove Point Lighthouse Keeper’s House, Harms Gallery, Corbin Nature Pavilion, and the Lore Road rental property.

This position will be an employee of the Calvert Marine Museum Society, the non-profit arm of the museum, under the direct supervision of the Director of Development. The Events and Facilities Coordinator is a full-time position with benefits and will work a minimum of 35 hours per week. Additional hours, including evening and weekend hours, will sometimes be required.

ESSENTIAL JOB FUNCTIONS

  • Manage and oversee the Lore Road rental property, and short-term and weekly rentals of the Cove Point Lighthouse Keeper’s House
  • Maintain a database of inquiries and renters
  • Send event contracts, collect rental payments, and follow-up with rental contracts and other required documents
  • Submit deposits and check requests for purchases, and manage overall budget for facility rentals
  • Work with approved and designated private sector wedding planners to rent museum facilities for weddings
  • Research and cultivate promotional opportunities through self-initiated efforts using social networking and traditional media outlets
  • Bid and manage the facility maintenance contracts, ensure that work is completed, and vendors are paid
  • Handle emergency calls from renters and coordinate museum or contractor response(s) to ensure good customer service
  • Forge and maintain strong relationships with vendors, caterers, and the Cove Point community
  • Complete monthly staff reports, quarterly Board of Directors' reports, and annual work progress summations
  • Assist Director of Development and other Development personnel in duties related to the fundraising efforts of the museum

KNOWLEDGE, SKILLS, EXPERIENCE

  • A degree or five years of experience in hotel/restaurant management, event management, public relations, sales, or related field is desirable
  • Community outreach experience
  • Outstanding interpersonal communication skills, both oral and written
  • Strong organizational skills
  • Fluency using Microsoft Word and Excel; knowledge of Microsoft Visio to create floorplans is a plus
  • Ability to update website pages and experience using Facebook in a professional setting
