Faculty Affairs Assistant, College of Humanities and Social Sciences Dean's Office

About the Position:

This part-time (20-25 hours/week) position will support the Associate Dean for Faculty Affairs and Strategic Initiatives and the Associate Director of Operations and Initiatives in the Dean's Office.


  • Assist the CHSS Faculty Governance Executive Committee with maintaining historical records of faculty committee elections, disseminating information to faculty on behalf of the Executive Committee as requested, and assisting with selection of CHSS Faculty Assembly meeting dates to ensure attendance by the Dean;
  • Collaborate with the Associate Director to create and maintain a system for tracking and retaining copies of all MOUs pertaining to the college, and if needed, monitoring MOUs and notifying the appropriate parties when the terms of an existing MOU are due to expire. Ensures appropriate distribution of signed MOUs;
  • Coordinate with the Provost's Office and CHSS departments and programs on the collection, cataloging, retention of faculty transcripts, CVs, and teaching credentials to support SACSCOC compliance initiatives;
  • In collaboration with the Associate Director and other members of the college's Senior Staff team, assist with scheduling and organizing meetings related to planning events supported by the Dean's Office (college's degree celebration ceremonies, research conferences, etc.), ordering catering when necessary, and coordinating with the Communications and Marketing team on creating a central schedule for events;
  • Assist the Associate Dean of Faculty Affairs and Strategic Initiatives on the scheduling, management of trainings and meetings, and records associated with the faculty inclusive excellence hiring process, the cluster hire network, and the postdoctoral program; Supporting the Associate Dean for Faculty Affairs and Strategic Initiatives in scheduling and organizing various meetings, and assisting with drafting minutes and committee records; assisting with purchasing and other necessary financial requests; Assisting with facilitating organization of faculty award nominations and other related programs (Career Development FRDA).

Required Qualifications:

  • Minimum of high school diploma or equivalent; some college desirable;
  • Experience in an administrative position;
  • Experience with scheduling and calendar maintenance;
  • Attention to detail;
  • Excellent verbal and written communication skills;

Preferred Qualifications:

  • Experience with event planning.
