Administrative Assistant, College of Engineering and Computing


The George Mason University Sid and Reva Dewberry Department of Civil, Environmental and Infrastructure Engineering, within the College of Engineering and Computing, seeks a proactive, organized, and self-reliant Administrative Assistant to provide administrative support for the Department Chair, faculty, and student body. About the Department:

CEIE is a vibrant and fast-growing Department that offers MS and PhD programs, in addition to an ABET-accredited BS degree. During the last 5 years, the department has experienced tremendous growth in new research awards, and in enrollment in the PhD program. Total enrollment across all degrees in CEIE has increased to 430 students. The department has an enviable and strong relationship with industry, including over 30 companies and individuals working in partnership as the Civil Engineering Institute (https://civil.gmu.edu/connections/civil-engineering-institute), a unique organization formed to support the mission and vision of the department. About the Position:


Under the direction of the Department Chair, the Administrative Assistant is responsible for the daily coordination and execution of administrative and program support operations to ensure the service needs for both faculty and students are met.

This is a temporary wage position.

Responsibilities:

  • Screen and route calls, emails, and visitors appropriately;
  • Manage mail distribution and package delivery;
  • Coordinate and schedule departmental meetings and events as directed;
  • Submit work order requests and room reservations;
  • Take initiative and be able to work independently;
  • Work in-person in the office during regular business hours (8:30 a.m. - 5:00 p.m.;
  • Perform general department filing and office organization;
  • Provide administrative support as needed to Chair, Associate Chair, and Department.


Required Qualifications:


  • Demonstrated experience in a customer service position;
  • Exceptional verbal and written communication skills and strong organizational abilities;
  • Prior experience performing with a high degree of accuracy, professionalism and ensuring confidentiality is maintained at all times;
  • Prior experience handling multiple responsibilities simultaneously and meeting deadlines, while maintaining flexibility regarding changes in priorities;
  • Prior experience analyzing and solving problems;
  • Prior experience effectively prioritizing tasks;
  • Strong customer service skills, diplomacy skills, and the ability to work with a wide range of constituencies in a diverse community;
  • Proficiency with Microsoft Office suite software, including word processing, spreadsheets, and e-mail applications.


Preferred Qualifications:


  • Completion of Bachelor's degree;
  • Demonstrated experience in an office/administrative position;
  • Knowledge of university procedures, policies, and regulations;
  • One year of professional office experience (desk and computer work, answering phones, greeting guest, etc.).
