The George Mason University, Carter School for Peace and Conflict Resolution is seeking to hire an Events and Site Manager for Point of View (POV), Carter School's international retreat and training center for peacebuilding collaboration. About Point of View (POV):

A part of George Mason University's Carter School for Peace and Conflict Resolution, POV sits on 120 acres of pristine wooded land and wetlands overlooking Belmont Bay in Lorton, VA, in close proximity to the nation's capital. Its breathtaking views-coupled with state-of-the-art facilities -provide a truly unique and ideal setting for a range of events, including group meetings and conferences, retreats and trainings, local and international dialogues, as well as weddings and other special events. In addition, POV provides expert facilitation support and conflict resolution training to groups and communities.

About the Position:

The POV Events and Site Manager will provide excellent events management, marketing, and outreach, including but not limited to: event scheduling and planning, working closely with clients, event logistics and execution, managing budgets, the creation and dissemination of marketing materials and communications, and leveraging new and existing technologies for client management and outreach. The Events and Site Manager will also manage the Point of View administrative functions, including creating and managing systems and processes to help the center run smoothly and efficiently.

The Events and Site Manager will be a key leader of the POV team and part of an exciting moment in POV's growth and development as an international retreat and training center that provides space and support for a variety of events and organizations. As such, this position offers a unique opportunity to take initiative in and ownership of special projects to expand POV's hospitality and marketing efforts. The Events and Site Manager will also work collaboratively with members of the Carter School's staff and faculty in coordinating Carter School events and activities that take place at POV.

Responsibilities:



Events Support:

  • Serve as the primary events manager for all events and activities scheduled at POV by both external (non-Mason) and internal (Carter School and other Mason) groups;
  • Serve as a key point person for internal and external clients and partners in answering inquiries; providing tours; scheduling events; managing the events calendar; managing registrations if needed; arranging catering and other logistics (such as additional equipment and/or AV support, hotels, shuttle service, etc.); providing advice and support to event leaders on strategies and procedures; event set up; providing support during events including with AV, beverage and snack service, and/or catering; event teardown; event assessment; and tracking event participation and evaluation and producing reports as needed/
  • Manage budgets, invoicing, event agreements and payments;
  • In general, ensure the success of all events and activities at POV, and help to create a peaceful and welcoming environment for all visitors.


Marketing and Outreach:

  • Lead the POV team in marketing and outreach endeavors for POV as a whole, as well as for specific events and activities, including conducting research, designing marketing and promotional materials, conducting targeted outreach to diverse constituents, promoting and managing POV profiles on online and in-print event venue platforms, creating professional and creative content for website and social media, managing social media platforms, developing and maintaining mailing lists for communications, and maintaining systems of organization for photography and other creative content for marketing and outreach purposes;
  • Work in coordination with members of the Carter School staff and faculty to ensure streamlining of marketing and outreach efforts, and alignment with Mason brand standards;
  • Be willing to learn proactively about event marketing and outreach strategies and how to implement them to support POV's goals, as well as to learn the technical skills required.


Site Management:

  • Maintain a smoothly functioning center, including creating organizational systems and procedures, organizing and tracking supplies, supporting the integrity and confidentiality of client and other confidential data, and developing other ways to improve office operations and communications;
  • Coordinate with other University Departments (i.e. Mason facilities, housekeeping, groundskeeping, etc.) to ensure POV site needs are fulfilled. Proactively look for ways to improve retreat site experience;
  • Take initiative as needs arise. Maintain team orientation and a willingness to go the extra mile to ensure the success of POV. Consistently convey a positive and professional image for POV.


Required Qualifications:

  • Bachelor's degree in Hospitality, Events Management, Business, Marketing or a related field, or equivalent training and experience;
  • Demonstrated knowledge of and excellent skills in events planning and management;
  • Excellent hospitality, customer service, and interpersonal skills;
  • A passion for connecting with and helping diverse individuals and groups;
  • Demonstrated experience in marketing and outreach and developing promotional materials and managing social media platforms;
  • Superior communication skills, both spoken and written;
  • Excellent time management and problem-solving skills;
  • Ability to respond to tasks with a sense of urgency and to manage multiple projects and deadlines effectively. Ability to attend to numerous details while still able to focus on the big picture;
  • Excellent organizational skills, detail-oriented and accuracy driven;
  • Highly self-motivated, proactive, curious, and creative;
  • Demonstrated ability to work independently and collaboratively, follow direction, and take initiative;
  • Ability to work with people of diverse backgrounds;
  • Ability to perform duties with a high level of professionalism, flexibility, integrity, diplomacy, and tact;
  • Ability to work a flexible schedule, including evenings and weekends as needed;
  • Proficiency in MS office and willingness to learn new programs to support POV as needed. Ability to troubleshoot basic technology issues and provide event technical support.


Preferred Qualifications:


  • Demonstrated experience or interest in wedding and special events promotion and management, in addition to academic, corporate, or other diverse event needs.
