Remote/Hybrid (Onsite 2-3 days a week)Provides administrative support to the Human Resources team in a multitude of activities including general office duties, record management, benefits processing, and talent acquisition. Researches, analyzes, prepares reports and distributes information on human resource related issues.ESSENTIAL DUTIES AND RESPONSIBILITIESCreates and maintains employee records and ensures that employment information is documented and retained in personnel files and the HRIS system.Updates HRIS system and employee files to document changes to personnel in accordance with policy and procedure. Ensures all records meet company requirements and are properly processed, recorded, and archived, both electronically and in paper files as necessary.Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.Answers phone and email inquiries; opens and sort mail; makes appointments and arranges meetings and/or travel for senior management and other department managers, as necessary.Inventories and orders departmental office and UPS supplies as needed.Tracks department financial expenses, codes all incoming invoices for payment and creates purchase orders for related expenses.Maintains appropriate vendor and/or outside contacts that are required for the administration of established human resources programs and research studies.Provides administrative support in the processing of requests from customers, employees, vendors and legal or regulatory agencies.Examines employee files to answer inquiries and provides information to authorized agencies; to include assisting in audits of HR policies and procedures, processing of requests and inquiries from local, state, and federal agencies, including unemployment claims, employment verifications, and subpoenas.Provides support for the processing of benefits, including enrollment, termination, invoicing, and documentation. Monitors and responds to inquiries received in the benefits email inbox. Processes vendor files, both inbound and outbound, according to schedules and policy.Provides support for the talent acquisition team including hiring manager, internal and external candidates, recruiting team members and the overall HR team. Creates a positive recruitment experience throughout the candidate lifecycle through prompt follow-up, communication, and interactions with diverse internal and external applicants and recruiting team members. May assume responsibility for entry-level requisitions.Accurately maintains applicant tracking system (ATS), JobVite, by posting, monitoring, closing requisitions, and updating the ATS with accurate candidate status throughout the recruitment process.Conducts proactive candidate outreach/sourcing activities (on selected requisitions), reviews incoming applicants and performs initial interviews to determine minimum qualifications and career goals.Organizes and aligns complex calendars with varying international time zones to schedule phone and online video interviews and meetings.Organizes and drives the new hire process. Conducts reference checks and background checks via 3rd party vendor. Assists HR team in conducting orientation and onboarding.Assists with documentation and updating of HR standard operating procedures, processes, and policies.Assists with managing Spok's candidate-facing platforms and social media; assumes a subject matter expert role for various recruitment tools and resources.Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and celebrations.Performs special projects and other related duties as assigned.Required Experience2+ years of experience as an HR AdministratorExposure to labor law and employment equity regulationsProficiency in ATS and HRIS systemsProficiency with video conferencing software, preferably Microsoft Teams and WebExProficiency with Microsoft Office SuiteWell-versed using social media tools including LinkedIn Recruiter, SeekOut, Facebook, and TwitterDesired ExperienceSHRMs Talent Acquisition Specialty Credential a plusPrevious recruiting experience in the IT or Healthcare industryProficiency in HubSpot, Canva, Visio, Adobe, and other related software
