Summary The Secretary/Office Automation for Surgical Service will provide secretarial support and assistance to the office of the Chief, Surgical Service, General Surgery, Vascular Surgery, Otolaryngology, Ophthalmology, Orthopedic Surgery, Urology, Plastic Surgery, and Cardiothoracic Surgery. Responsibilities The primary duties for the Secretary involve providing a wide variety of administrative and technical assistance to Surgical Service and directives associated with the overall operations and functions of the department. Other duties may include but are not limited to the following: Receives, schedules, refers, and contacts members of the staff, agency, and persons outside of the agency ranging from other government agencies to the general public. Personally provides information about the office, its functions, and standard operating procedures, as well as similarly information. Screens calls and personally answers calls within the request information concern routine and procedural requirements. Relays instructions to staff, collects information, and prepares collaborative replies written or verbal to correspondence or reports. Obtains and monitor the use of services, supplies, or equipment for the office. Receive telephone calls and visitors, discreetly screening the nature of the calls in order to determine those that should be referred to the supervisor or can be diverted to other appropriate contacts; Other duties as assigned. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-05 position you must have served 52 weeks at the GS-04. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. Selective Placement Factor (SPF) 40 Words per Minute (WPM) type speed Words per Minute are based on a 5-minute sample with three or fewer errors. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: administrative duties such as answer phones, assisting visitors, schedule appointments and meets for supervisor, ordering supplies, carry out the day to day work of the office independently and timekeeping. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years above high school. OR, Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond the first 60 semester hours (ie beyond the second year). Once full academic year of study (30 semester hours) beyond the second year is equivalent to six (6) months of specialized experience. You will be rated on the following Competencies for this position: ClericalCommunicationsComputer Skills Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (eg, Peace Corps, AmeriCorps) and other organizations (eg, professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items, such as papers, books, small parts, and driving an automobile, etc. No special physical demands are required to perform the work.
