Immunization Assistant

The George Mason University, Student Health Services Department invites applications for the Immunization Assistant position. About the Department:

Student Health Services (SHS) provides health care services at George Mason University (GMU). SHS provides primary care services and health promotion to eligible students at GMU, including but not limited to, initial and follow up assessment, history taking, physical exam of patients, utilization of differential diagnosis, appropriate interventions, consultations and referrals as indicated, and basic emergency treatment and stabilization. Staff provide services to faculty, staff, and visitors on an as needed basis.

About the Position:

The Immunization Assistant supports the efforts of the SHS Immunization Department in ensuring all students are compliant with Commonwealth of Virginia vaccination requirements for higher education. This position has the potential to support all three SHS clinic locations and shares day to day responsibilities at the Arlington and Fairfax SHS Campus locations.

Responsibilities:

  • Courteously handles student inquiries and complaints related to the immunization process, in person and/or by phone;
  • Completes data entry of student records and processing of uploaded documents;
  • Reviews immunization records and/or exemptions of incoming students;
  • Follows existing SHS processes for processing of TB clearances, chest x-rays, and student vaccination appointment scheduling;
  • Determines which students are non-compliant, and notifies them of their status by sending a second form letter and subsequent notices;
  • Correctly transfers the summary of the information from the PC-based program into the Student Information System, and clears students for registration.


Required Qualifications:

  • High School Diploma or GED;
  • Excellent communication (listening, verbal and written) and interpersonal skills, demonstrating a high degree of tact, judgment, courtesy and a high level of confidentiality when dealing with all levels of staff and the public;
  • Experience with Veracity or other call-center systems;
  • Excellent organizational, follow-through and time management skills, with the ability to prioritize tasks and accurately handle multiple priorities;
  • Ability to work independently as well as in a team environment;
  • Must be proficient with basic PC skills, including Microsoft Office Suite (Word, Excel, Outlook);
  • Successful completion of a recognized medical office/business administration program, or 1 year equivalent secretarial/clerical experience in a medical office setting.


Preferred Qualifications:

  • Electronic Medical Records experience.
