Responsibilities

As a/an Office Assistant, you will:
  • Independently carry out a variety of special assignments, involving the development of methods of operation or improvements in administrative practices of the office procedures and work routines.
  • As assigned, perform research and gather background data for use by the Deputy Assistant Secretary, Associate Deputy Assistant Secretary and senior staff in preparing special reports and other data.
  • Receive visitors and telephone calls, ascertain the purpose of the visit/call and determine whether the matter requires the personal attention of the Deputy Assistant Secretary or Associate Deputy Assistant Secretary.
  • Using computer software programs, prepare a variety of formatted documents (correspondence, reports and information documents) in final form, including exhibits, tables, spreadsheets, organizational charts and statistical reports.

  • Qualifications

    You must meet the following requirements by the closing date of this announcement.

    Specialized Experience: For the GS-11, you must have one year of specialized experience at a level of difficulty and responsibility equivalent to the GS-09 grade level in the Federal service. Specialized experience for this position includes:
    • - Experience providing administrative support which may include researching information from a variety of program offices and/or administrative systems to resolve issues; AND
    • - Coordinating documents, briefings, and program materials to ensure consistency with departmental standards (i.e., written correspondence, meetings and electronic materials); AND
    • - Observing management activities within the office to identify issues and make recommendations for improvements and/or corrective action.

    Experience may have been gained in either the public, private sector or volunteer service . One year of experience refers to full-time work; part-time work is considered on a prorated basis.
