Job Summary/Company: Sparks Group has partnered with a International Trade litigation firm seeking a diligent and tenacious Senior Executive Assistant to support a senior partner within the organization. This person will be responsible for the gamut of high-touch executive support functions to include personal assistance. Candidates who bring at least ten (10) years of progressive Executive Assistant experience supporting senior leadership in a law firm environment are highly encouraged to apply.
This will be a fully onsite position within the Washington, D.C. office. All individuals working within the office must be fully vaccinated against COVID-19. Masks are required onsite.
Responsibilities:
  • Provides day to day administrative and personal support to a partner within the law practice, enabling the partner to efficiently and effectively pursue dynamic professional and personal goals
  • Execute complex domestic and international travel arrangements for partner and family members, juggling intricate schedules and calendars
  • Extensive calendar management including scheduling, adding and updating information for work, family, social events, clients, and other attorneys
  • Logistical preparation for meetings, including conference rooms, meals, coordinating with IT, providing reminders, preparing documents, etc.
  • Organize information, work, and physical space while consistently offering ideas to enhance the support of the partner in order to bring added value to the role
  • Proactively manage incoming/outgoing communications, including mail, calls, email, etc.
  • Track and process expense reimbursements
Qualifications/Background Profile:
  • Bachelor's Degree required
  • Minimum 10+ years of experience as an Executive Assistant or Executive Personal Assistant to an executive, law firm partner, C-level role, or high profile individual
  • Impeccable organizational skills with ability to proactively identify and solve problems under pressure
  • Highly proactive, meticulous, adaptable, detail oriented, resourceful and self-directed
  • Ability to remain calm in the face of unexpected challenges and take ownership of responsibilities
  • Places value on customer service and flexibility
  • Demonstrates creative, persistent, and thorough research techniques
  • Completes requests with utmost discretion in all aspects of the job, both business and personal
  • Strong desire to execute all responsibilities with the highest level of excellence, service and consistency
  • Proficiency in MS Word, Outlook, and Excel
