Children's National is seeking a Research Contracts Administrator to initiate and manage research related contracts (including, but not limited to Consultant Agreements, Service Agreements, Data Use Agreements, Material Transfer Agreements, Contract Amendments) for all of Grants and Contracts Administration and Finance (GCAF) and the Children's research community. We are looking for a talented individual who will have extensive knowledge about the contract management and administration process from intake through upload of executed contracts. Responsibilities include but are not limited to review of contract intake for accuracy and compliance, submission and monitoring within the electronic contracting system, liaison with external stakeholders, and monitoring for timely turnaround. Coordinating with other department teams as applicable for contract execution, including Legal and Procurement.


Minimum Education
Bachelor's Degree Business, Health Care, Public Administration or related field and/or an equivalent combination of training and experience or certification in contracts and agreements (Required)

Minimum Work Experience
2 years Progressive experience administering contracts and/or grants preferably in biomedical research, healthcare/medical programs and services, private research institution, and/or within a federal agency. Experience with clinical trials, contracting, and knowledge of federal grant administration circulars, regulations, and policies. (Required)

Required Skills/Knowledge
Working Knowledge: NIH Grants Policy Statement (07/20), FAR and DFAR clauses, 2 CFR 200 in addition to 45 CFR Part 74, Appendix E
Human Relations Skill Level: Strong oral and written communication critical
Computer Skill Requirements: Critical
Hardware: PC compatible. Software: At least intermediate level experience with Excel and other Microsoft Office Software

Required Licenses and Certifications
Certified Research Administrator (CRA) Professional accreditation for professionals in research administration 3 Yrs (Required)

Functional Accountabilities
Document and Contract Support
  • Support the Children's National research community in providing training to internal stakeholders on the contract process
  • Manage the administrative portion of the contract process
  • Provide initial review of contracts as assigned
  • Maintaining data integrity as it relates to contract management at Children's National
  • Utilizing project management skills to identify and implement process improvement for the contracting process
  • Obtain executed contracts and all applicable documents from internal stakeholders for upload and maintenance into our electronic contracting system
  • Communicate and perform cross functionality by working closely with legal, purchasing, grants and contracts, finance and other business functions
  • Acts as liaison between Children's National and external stakeholder (sponsor, vendor, etc) for contract negotiation
  • Provide support and escalate to Supervisor as necessary
  • Other projects and matters as assigned
  • Assist in the research, planning and preparation of education sessions and presentations
  • Assist with creation of education materials and templates for internal and external use
Administrative Tasks
  • Respond to general inquiries and provide technical assistance within scope of work
  • Acts as a resource to internal business partners for regulations, policies and guidelines that apply to research and research contracting
  • Monitor contract status (active vs. expired) for accuracy, completeness, and compliance
  • Utilize institutional contracting software to provide regular reports to internal business partners and/or GCAF leadership
  • Adhere to office policies, procedures, guidelines and business processes to ensure compliance with organizational, sponsor and federal regulations
  • Speak up when team members appear to exhibit unsafe behavior or performance
  • Continuously validate and verify information needed for decision making or documentation
  • Stop in the face of uncertainty and takes time to resolve the situation
  • Demonstrate accurate, clear and timely verbal and written communication
  • Actively promote safety for patients, families, visitors and co-workers
