We have an immediately available job opening for a Administrative Assistant - Contracts & Insurance in our corporate offices in Fairfax, Virginia. This position supports contracting activities for the Dewberry's various practice areas, with a primary focus on certificate of insurance management and compliance. Involves contract and subcontract management of certificates of insurance for all contract types, including commercial, alternative project delivery, construction, and public sector, contracts. Obtains compliant certificates of insurance interacting with Dewberry's Contracts, Accounting and Procurement staff and Dewberry's insurance broker. Supports other contract-related and administrative functions as assigned.

Responsibilities

  • Handles certificate of insurance communications and delivery between Dewberry and the insurance broker for requesting certificates of insurance for all projects. Reviews contract insurance terms and conditions and coordinates with Contracts, Accounting or Legal, as appropriate.
  • Assists with the annual renewal process for certificates of insurance and distribution to the project managers for seamless coordination, continuation of project services, and receipt of payments.
  • Assists with reviews of contractual documents and terms including non-disclosure agreements, and teaming agreements.
  • Support Dewberry contractual reporting for state, local and federal clients.
  • Reviews final contract documents for consistency with negotiated terms.
  • Other contract support functions as needed;
  • Develops and maintains strong positive relationships with internal and external clients.
  • Works with Contracts group, project managers, Dewberry's insurance broker, and Dewberry's teaming partners.
  • Work is supervised for 50-70% of the time.
  • This position has no supervisory responsibilities.


Required Skills & Required Experience

  • Bachelor's degree or Associates degree in Business Administration or equivalent from an accredited college or university, considered a plus
  • 2-3 years professional experience in handling of certificate of insurance;
  • Relevant experience in government and/or commercial contracts is preferred
  • Knowledge of FAR & DFARS for federal government contracting helpful
  • Excellent organizational and time management skills
  • Strong oral and written communication skills
  • Must be able to build strong relationships with internal and external clients
  • Possess excellent business acumen
  • Strong intermediate or higher-level skills working in Word, Excel, Adobe Acrobat, and electronic databases
  • Eligibility for a federal government clearance
