Job Summary/Company:

Sparks Group has partnered with an organization that provides management, legal, financial, human resources, information technology, business development, transactional, investment, licensing, and other services to the group of companies. (The group of companies is dedicated to the discovery, development and commercialization of treatments for patients in the fields of oncology, metabolic, neurometabolic and neurodegenerative diseases; biological agents that meet the challenges of cancer; and therapies for major sight-threatening diseases.)

Overall Responsibilities:

The Receptionist performs daily front-desk administrative functions, such as answering the phone, directing callers, distributing incoming mail, maintaining conference room schedules, and ordering office supplies; serves visitors by greeting/directing them appropriately, and notifying company personnel of visitor arrival; provides assistance to Executive Management, as directed; from time-to-time may provide administrative support to other departments and back-up to the executive assistant, as requested.

Job Functions:
  • Screens and directs incoming calls to appropriate staff members, including calls from medical professionals regarding commercial drugs. Places calls for executive management, as directed.
  • Sorts and distributes mail. Opens, date stamps and gives all invoices to Accounts Payable. Affixes postage to out-going mail. Collects FedEx envelopes and arranges for drop off.
  • Maintains conference room schedules, out-of-office calendar, phone list, and Reception Guide.
  • Assists Executive Management with arrival/departure activities, and coffee/food service throughout the day, as requested. Prepares bi-weekly spreadsheet of luncheon expenditures.
  • Prepares Visitor badges for on-site Security. Welcomes visitors/guests and provides escort to meeting room. Notifies personnel of arrival. Assists with coffee/food service for Executive Management guests.
  • Provides administrative support (scanning, copying, faxing, filing and mailings) for various departments, as needed. Assists Executive Assistant, as requested. May research articles/newsletters for Executive Management and distribute, as directed. Orders office supplies, as necessary.
  • Follows safety directives for fire and medical emergencies.

Skills/Experience Requirements:
  • 2-5 years of front desk/receptionist experience. Experience as an administrative assistant, preferred.
  • Excellent verbal and communication skills; professional demeanor with employees, visitors/guests, and vendors.
  • Proficiency with Microsoft Office Suite.
  • Ability to work effectively with various levels of internal/external customers.
  • Team-centered approach to accomplishing tasks.

Educational Requirements:
  • High school diploma, or equivalent.


The onsite work schedule is Monday-Friday, 8:30 AM to 5:30 PM, with one hour for lunch.
