Office Manager, Student Health Services

The George Mason University, Student Health Services Department invites applications for an Office Manager position. About the Department: Student Health Services (SHS) provides health care services at George Mason University (GMU). SHS provides primary care services and health promotion to eligible students at GMU, including but not limited to initial and follow up assessment, history taking, physical exam of patients, utilization of differential diagnosis, appropriate interventions, consultations and referrals as indicated, and basic emergency treatment and stabilization. Staff provide services to faculty, staff, and visitors on an as needed basis.

About the Position: The Office Manager, Student Health Services, provides administrative leadership to the patient services staff and supports the administrative operations of the SHS office. Reporting to the Director, Associate Administrative Director, the Office Manager manages day-to-day operations for all of Patient Services. The Office Manager supports the Executive Director, Associate Medical Director, Administrative Director, Clinic Coordinator, Lead Nurse and multiple practitioners as well as patients to assure the highest quality of care.

Responsibilities:
Operational: * Organizes and coordinates office operations and procedures in order to ensure organizational effectiveness and efficiency on all three campuses; * Serves as primary point of contact for interdepartmental needs (e.g. telecom, Cashier's office, Student Accounts, facilities); * Provides continuous enhancement of office protocols on customer service through written policies and staff trainings; * Responds to and resolves escalated customer service complaints from students; * Communicates SHS hours (and changes) through postings and phone service.

Financial: * Maintains and prepares all fiscal and related financial records for Student Health Services; * Reconciles expenses and Department revenue; * Completes daily reconciliation of front desk staff; * Responsible for patient billing of outstanding debts, to include Interdepartmental Billing; * Prepares monthly reports, budget analysis and forecasting budget; * Manages purchasing for SHS: completes all supply orders/maintains equipment, processes invoices through university system; * Makes routine financial adjustments via university financial processes.

Supervisory: * Provides direct supervision to administrative classified and non-student wage staff responsible for the front office and other administrative roles; * Manages operations for patient services: covers front desk as required; * Tracks, schedules and approves leave; * Communicates and implements policy and procedural changes; * Trains staff; * Responsible for ensuring daily front office staffing and supply inventory needs are met, which may include making recommendations for increased staffing, interviewing and hiring; * Works closely with the Clinic Coordinator and Lead Nurse to encourage and support a collaborative patient care approach including combined staff meetings and trainings.

HR Liaison: * Manages personnel information; * Submits and approves time for all full, part-time and temporary staff; * Tracks leave records; * Processes temporary wage hiring and re-hiring as needed; * Ensures appropriate payroll and IT access for the SHS Staff.

Required Qualifications: * Bachelor's degree in related area or equivalent combination of education and experience; * Significant supervisory experience in a medical setting; * Knowledge of financial and accounting principles, methods, procedures; * Expertise with Microsoft Office applications; * Skill in completing assignments accurately and with high attention to detail; * Excellent communication and organizational skills; * Multitasking - ability to handle multiple tasks simultaneously independently and within a team; * Demonstrated Problem Solving and Analytical Ability.

Preferred Qualifications: * Master's degree or higher in a relevant area of study; * 5+ years relevant experience; * 4+ years Supervisory experience; * Experience in medical and mental health outpatient offices.
