Minimum Qualifications

Education
  • Bachelor's degree in Business Administration, Engineering, Information Systems, Project Management or related field
    • In lieu of a bachelor's degree, a high school diploma or GED and four (4) years of experience resolving administrative issues and experience coordinating/tracking administrative functions in a customer service or maintenance environment.

Experience
  • Five (5) years' experience coordinating and scheduling projects and related deliverables in a maintenance or operations environment

Certification/Licensure
  • Possession of a valid motor vehicle operator's license

Preferred
  • Education
    • Vocational or technical training in Project management

Experience
  • Contracting Officer's Technical Representative (COTR) experience

Job Summary

The Project Coordinator/Scheduler provides detailed coordinated planning and support to improve and manage both internal and external projects within the Office of Elevator and Escalator Services (ELES). Additionally, the incumbent coordinates with project leaders and their teams on projects from inception to completion, and works with internal contractors to ensure timely deliverables.

ESSENTIAL FUNCTIONS
  • Facilitates the review and approval of departmental project plans. Schedules, coordinates and tracks project procedures, staffing, contingency plans and resource allocation.
  • Works with contractors, vendors and stakeholders to achieve the best utilization of resources to meet department objectives. Liaises with internal clients to communicate and coordinate activities.
  • Monitors ongoing project feedback from field staff and cross-functional members. Collaborates across staff and functional/channel management to manage expectations and improve relationships.
  • Ensures responsibility and accountability for developing and submitting a realistic and reasonable project budget and for issuing appropriate progress reports as required to record the project's advancements or delays. That report includes a register of completed tasks, all payments issued and any problems causing delays, redirection of focus or that impacts project delivery timeline or strategy. Creates and provides progress reports to OMBS as well as the program's front office (ELT member) as required.
  • Ensures responsibility for allocating costs to appropriate projects and for the timely and accurate review and approval of applicable invoices.
  • Monitors special projects from initiation to completion, and updates all systems and project data sheets required.
  • Works with Capital Improvement Projects (CIP) group to coordinate support for resources and utilize established framework capturing requests, costing, resource estimations and project durations.
  • Monitors overall ELES projects and programs, prepares status reports, leads global reviews, and updates management, clients and other stakeholders on project/program status and related issues. Monitors and tracks compliance to update cost and benefits. Ensures effective project management and compliance in a safety oriented operating environment.


OTHER FUNCTIONS
  • Participates in internal and external resource acquisition to coordinate technical expertise and manpower needed and ensure deployments meet established scope, deliverables, budgets and timelines.
  • Provides review of individual programs and projects including global review roll up to ensure deliverable progression.
  • Operates Authority vehicle between work locations to perform job duties as required.
