* Videos Videos * Duties Help Duties Summary The incumbent will act as the Program Analyst to the VISN 5 Deputy Network Director (DND). The VA Capitol Health Care Network (VISN 5) is one of twenty-one Veterans Integrated Service Networks (VISNs) within Veterans Health Administration (VHA). Learn more about this agency Responsibilities VISN 5 was established in October 1995, and serves veterans from economically and demographically diverse areas within four states (the entire state of Maryland, and portions of Virginia, West Virginia, and Pennsylvania) as well as the District of Columbia. VISN 5 is a system of three VA health care facilities and 18 community based outpatient clinics. The purpose of the position is to provide substantive staff to support to the VISN DND and the Executive staff. SUMMARY OF MAJOR DUTIES AND RESPONSIBILITIES: Admin * Administrative duties include personnel management, office planning, correspondence preparation and control, special projects, committee-related work including meeting minutes/agenda/follow-up, screening of incoming calls and visitors. * Work daily with program managers reporting to the VISN 5 DND. * Develop administrative office procedures and workflow processes. * Support the VISN 5 Deputy Network Director who serves as the VISN 5 Incident Commander. Special Projects/Data * Use multiple VISN SharePoint sites to add or retrieve information. * Collect and analyze data as requested by VISN leadership utilizing databases, spreadsheets, and programs. * Special projects or studies to analyze, evaluate, and provide recommendations. Issue Briefs * Review (and edit if needed) incoming facility-level Issue Briefs (IBs) and Heads Up Messages (HUMs), route for review and concurrence to multiple program areas and VISN 5 Senior Management Team members, initiate action for follow-up IB/HUM if appropriate, and send approved IB to VA Central Office using the IB Tracker Portal. Correspondence * Manage program correspondence ensuring documents for the VISN 5 DND and VISN 5 Network Director are properly formatted, grammatically correct, and contain all relevant and pertinent information according to VHA and VISN correspondence guidelines. * Monitor a vast amount of incoming electronic correspondence and assign as appropriate. * Enter, retrieve, and monitor action items stored in Extra View records management portal to assure timely completion; run Extra View reports daily. * Oversight and responsibility for DND Service Line policies. Notifies DND Program Managers when policies require updating & track progress to submission and signature. Minutes * Take minutes for committees and workgroups, initiate committee actions and/or follow-up when appropriate, manage committee membership/attendance, update committee Share Points, distribute approved minutes, etc. Calendar * Manage scheduling calendar for VISN 5 Deputy Network Director in the absence of the DND Program Analyst. Timekeeping * Maintain DND Program Staff Time and Attendance Unit in VATAS ensuring records are in compliance with established guidelines. Resolve payroll exceptions. Travel * Preparation and oversight of all travel processing for VISN 5 Deputy Network Director as needed or in the absence of the DND Program Analyst. Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level. Work Schedule: Monday through Friday, 8:00am to 4:30pm.
