The Facilities Administrator will oversee various DCS/IST facilities providing support to the Director of Corporate Services. The facility administrator will provide facilities management services to assigned offices, issue and manage purchase orders, monitor facility-related expenditures against budget, collaborate with property managers, and vendors, among other duties as needed. Essential Job Functions: Ensures facility and supporting equipment are in proper working order including: Periodic inspection of mechanical, electrical, plumbing, HVAC systems to ensure optimal operating performance and preventive maintenance is performed. Administer fire safety, health, and security protocols; routinely inspect, test, and maintain necessary records Maintains physical space, ensuring a safe, clean, and OSHA compliant environment. Receives, manages, and processes work order requests; ensures problems are resolved quickly. Acts as liaison between DCS employees and any outside contractors needed to resolve specialized problems. Drafts and implements preventive maintenance schedules for buildings and equipment. Ensures safety standards are followed throughout facility. Participates on emergency preparedness planning team. Applies, or assists with application, for required environmental permits, other licenses, and permits. Maintains inventory of supplies; reorders as needed. Maintain building functions and work with vendors to resolve problems as they arise. Inspect for OSHA violations and other safety issues, coordinate corrective actions with the DCS safety officer, and provide guidance and training to employees using the DCS training system to address any such issues. Serves as a member on the Crisis Management, Safety communications, and Facility emergency task force. Performs other related duties as assigned. Picks up mail from the post office box, sort and distributes mail, and manages FedEx/UPS deliveries as needed, and contact package recipients. Monitoring the use of corporate services related supplies, ordering facility supplies as necessary, maintaining working relationships with vendors, places service corporate services related items as needed. Reviewing conference room schedules to ensure social distancing guidelines are being followed per Policy 02-17. And assisting the front desk team with setting up conference rooms for large meetings. As time allows provides administrative support for the Director of Corporate Services, including but not limited to: printing, organizing files, labeling, scheduling meetings, and other duties as assigned. Familiarity with basic office procedures and equipment including, but not limited to: copiers, fax machine, printers, and postage machine. High level of PC proficiency working with MS office products (Specifically: word, excel, PowerPoint) , SharePoint, Deltek. Must possess a high level of interpersonal and communications skills and be willing to be a team player. Must have strong problem solving skills, ability to stay organized, play close attention to detail, and have the ability to prioritize work. Must also have the ability to work well under pressure and deliver within required deadlines, often in a fast-paced work environment. Assist Director of Corporate services in planning meetings and coordinating with vendors/customers on ongoing projects. Write and distribute email to Lexington Park Staff, correspondence memos, letters, faxes and forms for important announcements. Assist in the preparation of weekly Corporate service report by consolidating weekly meeting notes and drafting report for the director to review. Develop and maintain an efficient digital filing system through the SharePoint Portal for all DCS offices. Update and maintain office policies and procedures related to Travel policies Credit Card policies, safety and risk. Order corporate services office supplies and research new deals and suppliers. Maintain contact list of assigned DCS Facility point of contacts and communicate with them on all office requirements pertaining to corporate services. Maintain the Space allotment on share point and distributes all updated information to DCS finance. Manage and schedule calendar appointments for the director of corporate services. Act as the point of contact for vendors who support all corporate service functions at Lexington Park. Liaise with director of corporate services to handle requests and queries from internal DCS clients pertaining to corporate services functions. Other Duties as assigned. Required Skills: Due to the sensitivity of customer related requirements, U.S. Citizenship is required. A High School Diploma plus 7 years of experience, an Associate's Degree plus 5 years of experience or a Bachelor's Degree plus 3 years of facilities and safety experience is required. Coordination with property owner to coordinate facilities issues that is covered by the lease agreement. Ability to understand building plans. Excellent verbal and written communication skills. Proficient in Microsoft Office Suite or related software necessary to create and maintain reports and logs. Excellent organizational skills and attention to detail. Ability to perform well in a fast-paced environment. Knowledge of safety regulations. Ability to manage multiple projects. Experience with handling and shipping knowledge. Ability to develop and maintain policies regarding safety-training programs. Effective training skills. Coordinate with building vendors (vending machines/water cooler rentals, carpet cleaning company, etc.). Prolonged periods standing and walking throughout facilities. Must be able to bend, lift (40lb at a time), stretch, climb, and crawl to maintain and inspect equipment and building systems. Climb and work on a ladder to conduct maintenance operations. Must be able to perform work in a variety of weather conditions. Desired Skills: DOD clearance a plus.
