Summary

This position coordinates communications and administrative tasks to the staff of the Office of the Auditor-Master, and is directly supervised by the Deputy Auditor-Master.

Responsibilities

Brief Description of the Major Duties:
  • Maintains awareness of the status of office projects and other information available from office communications, files and records; receives, reviews and distributes incoming correspondence, and determines what incoming actionable items should be referred to the Auditor Master for action.
  • Answers the telephone and logs calls on a log based on the case.
  • Upon receipt of subpoenas from staff, mails and dockets the subpoenas in CourtView. Tracks and processes payments for subpoenas.
  • Supervises administrative interns.
  • Serves as primary timekeeper for payroll.
  • Prepares hearing exhibits by scanning, Bates-stamping, redacting personal information, and copying sufficient copies for hearings, within time frames established by legal staff and other critical tasks around case management.
  • Uses independent judgment to complete appropriate tasks and distributes the remainder to the office staff as directed; establishes controls on correspondence with deadlines and follows-up to ensure required actions are completed in a timely fashion; and making a final review of all correspondence originating in the office for proper format, grammatical accuracy, conformance with published directives, proper concurrence and clearance.
  • Produces materials for the Office of the Auditor Master such as forms, memoranda, correspondence and reports.
  • Develops and maintains an accurate and detailed filing system; and determines the need for establishment of new files, or revision of existing file structure.
  • Maintains a calendar of appointments, meetings and arrangements for the Auditor Master and office staff; manages travel arrangements and completes travel reimbursement forms and receipts for reimbursement submission.
  • Maintains strict confidentiality of office documents and activities; and acts as the administrative team lead with responsibility of coordinating and assigning work as required to maintain smooth operations for the Office of the Auditor Master.
  • Communicates internally and externally to a diverse group of individuals ranging from the public, attorneys, judges, partner agencies and senior court officials.

Qualifications

Minimum Qualifications:

Grade 9: High School diploma/GED, plus five (5) years of general secretarial or clerical experience. Experience using MS Office products and various software packages such as Acrobat Adobe and e-fax are required . Must be willing to learn new software packages and devise new ways to create an organized office structure, filing systems and directories. Experience in a court or legal environment and a degree is preferred.

Grade 10: High School diploma/GED, plus six (6) years of general secretarial or administrative assistant experience. Experience using MS Office products and various software packages such as Acrobat Adobe and e-fax are required. Must be willing to learn new software packages and devise new ways to create an organized office structure, filing systems and directories. Experience in a court or legal environment and a degree is preferred.

Documentation of education (copy of HS diploma, GED, college diploma, transcript, or certificate) must be submitted with your application or your application will not be considered.
