Reporting to the Controller, the Senior Payroll Specialist is a critical role within our Accounting and Payroll Team. The successful candidate is responsible for implementing, maintaining, and reviewing payroll functions to ensure timely and accurate processing of payroll transactions and filings including salaries, benefits, garnishments, taxes, and other deductions for over 200 team members in a multi-state environment.

You will become a trusted advisor by walking the floors, getting to know the team members, and developing strong relationships as you interact with all levels of the company. You anticipate the needs of your team, have a pulse on the organization, and providing best practice solutions to educating all team members including understanding on the "why" tasks must be completed by deadlines in an educational manner.

  • Owning the payroll process for team members using ADP Workforce Now platform for bi-weekly, monthly, and other special payrolls (monthly incentives/commissions and annual bonuses) for hourly and salaried team members.
  • Entering new team member data into payroll system; process team members status changes and analyze payroll, reconcile general ledger accounts, create on-going month-end, quarterly and year-end organization reports
  • In collaboration with HR, managing aspects of the 401(k) retirement plan: (1) audit and compliance testing, (2) payroll file transmissions, (3) managing vendors and brokers relationships, (4) problem solving team member payroll inquiries.
  • Correct and timely filings and payments of all deductions and applicable withholdings collected through payroll including but not limited to federal, state, and local taxes, workers compensation insurance, state unemployment insurance, child support, etc.
  • In collaboration with the Accounting group, preparing postings and reconciliations of payroll transactions in all payroll-related general ledger accounts, working on the mapping of accounts for journal entries to be recorded, analyzing variances between pay periods and achieving timely resolution of discrepancies.
  • Working with HR to identify and implement payroll-related policy and process improvements where team members are impacted; participate in problem solving and special projects.
  • Managing and providing comprehensive review of time entered by team members electronically and manually as well as ensures required approvals are obtained. Also, coordinating efforts between various departments to ensure data collection and accuracy while adhering to a stringent time schedule resulting in completed and posted payroll.
  • Researching payroll issues/discrepancies, and processes necessary corrections; complies with the regulatory standards and policies and procedures of payroll.
  • Reviewing year end data and reporting to applicable agencies; overseer of in-house preparation of annual team member W-2 forms.
  • Providing accurate and detailed information to team members/management as requested with respect to confidential and time sensitive matters; additionally, provides clear oral and written communication that reflects excellent customer service.
  • Calculating and processing Federal and State tax and social security withholdings, and other deductions, insurance, benefits, pension/retirement, fringe benefits, FSA accounts and 401(k) contributions
  • Reviewing and auditing various monthly, quarterly, and annual reports filed (940, 941, EEO, etc.).
  • Creating and running payroll reports from ADP or in excel as necessary for financial reporting and budgeting, ad-hoc requests while ensuring accuracy of information and proper presentation.
  • Developing and ensuring compliance of all aspects of payroll policies, guidelines, procedures, and regulations.
  • Driving efficiency and enhancing service levels in the end-to-end payroll cycle including system improvements, process updates, and employee training.
  • Additional duties as necessary.

  • Bachelor's Degree or equivalent combination of education and experience. Accounting or Finance degree strongly preferred.
  • 5+ years of high volume, full-cycle payroll experience of multi-state US payroll and 401K plan administration experience, preferably with a for profit LLC or S-Corp organization.
  • 5+ years experience with ADP Workforce Now platform (along with Time and Attendance experience). THIS IS A MUST!
  • Current CPP or ability to obtain CPP is a major plus.
  • Advanced Excel skills and proficiency in other MS Office products.
  • High emotional IQ- very strong communication skills and a demonstrated ability to work effectively across all levels within the organization- from C-Level to team members, while being sensitive to business needs.
  • A collaborative leadership style with the ability to influence others into action and to think creatively about solutions.
  • Experience documenting business requirements and processes.
  • Strong attention to detail, ability to multi-task, have "go-getter" mentality, and ability to independently problem-solve and make decisions.
  • Ability to lead/participate in audits and special projects or process improvements as assigned, proactively working to make improvements that positively impact the culture, employees, and the organization
