Job Announcement

Serves as a subject matter expert and team leader of the Civil Intake Team of the Circuit Court. The position works under the supervision of the assistant manager and r esponsibilities include, but are not limited to:

  • Performs lead administrative duties ensuring coordination and consistency in processing a civil or domestic law case from initiation to completion.
  • Assists in training staff, updating training manuals, serving as a subject matter expert in all civil case intake processes; and performs tasks as a floater in the team.
  • Indexes new case filings, issuance of subpoenas, garnishments, levies, interrogatories, service of cases, confessed judgments, orders of publication, processing of the General District Court appeals and all other section responsibilities as required.

  • Knowledge of the functions of the assigned business areas and/or court procedures;
  • Knowledge of the Code of Virginia, the Virginia Supreme Court's Clerk's Manual, laws and regulations related to the assigned business areas;
  • Knowledge of standard administrative procedures, practices, and equipment;
  • Ability to interpret and explain complex rules and regulations to staff and customers;
  • Ability to communicate courteously and effectively, both verbally and in writing;
  • Ability to motivate, train, and mentor staff;
  • Ability to develop and maintain effective working relationships with a variety of individuals, including the judges, general public, members of the legal and business community, and department staff.


Employment Standards

MINIMUM QUALIFICATIONS:
Any combination of education, experience and training equivalent to high school graduation; plus three years of experience providing administrative support, technical support, customer service, or working in a court or legal environment.

CERTIFICATES AND LICENSES REQUIRED:
Not applicable.

PREFERRED QUALIFICATIONS:
  • T hree or more years of Court and/or legal experience
  • Knowledge of the Code of Virginia and regulations in relevant areas
  • Excellent attention to detail and organizational skills
  • Clear and concise oral and written communication skills
  • Experience working in a team environment
  • Ability to exercise tact, discretion, initiative, creativity, and independent judgment
  • Experience with Microsoft Office Suite applications, especially MS Word, Excel, and Outlook.

NECESSARY SPECIAL REQUIREMENTS:

PHYSICAL REQUIREMENTS:

Ability to lift boxes, files and push a cart weighing up to 20 pounds. Ability to input and retrieve data from a computer. Copy and scan court documents. Must be able to type at least 30 words per minute due to high volume of documents. Must be able to sit at a desk or on a counter stool or stand for long periods of time. Ability to communicate verbally and in writing. All duties performed with or without reasonable accommodations.
