Job Details

The American Enterprise Institute (AEI) seeks an enthusiastic, detail oriented, and diligent scheduler to support AEI's executive office. The scheduler will report to the Director of the Executive Office and will directly support AEI's president, Robert Doar and executive vice president, Jason Bertsch. The ideal candidate will possess exceptional organizational skills, refined interpersonal and communication skills, a high level of discretion, and impeccable attention to detail.

Primary responsibilities include:
  • Manage the president's and executive vice president's calendar and schedule
  • Coordinate and confirm meetings and engagements, both external and internal
  • Arrange and book all travel logistics (the president spends approximately 50% of his time traveling, and the executive vice president spends approximately 40% of his time traveling)
  • Help to organize preparation documents for meetings and engagements
  • Manage executive office contacts in Salesforce (prior experience is a plus)
  • Other responsibilities include: answer and screen phone calls, collect and sort mail, complete expense reports, create internal meeting agendas
  • Candidates must be willing to work nights and weekends as needed

A bachelor's degree is required. This individual is expected to work physically in AEI's office. The ideal candidate will generally have experience gained through 2 years of relevant work performing scheduling and/or administrative responsibilities with executives or elected officials in a fast-paced environment.
