Summary

This position is located in the Budget and Finance Division of the District of Columbia Courts. The Budget and Finance Division is responsible for all financial aspects of the DC Courts. This position provides administrative support in the Office of the Chief Financial Office.

Responsibilities

Brief Description of the Major Duties:
  • Greets visitors and handles incoming and outgoing calls, refers callers and visitors to supervisor as appropriate or ascertains the nature of the visit or call and refers to the appropriate party.
  • Receives, reads, sorts and distributes incoming correspondence. Determines what should be referred to the supervisor for action and distributes the remainder to staff members. Sets up controls on correspondence with deadlines and follows-up to ensure that required actions are completed timely. Makes final review of all correspondence originating in the office for proper format, grammatical accuracy, conformance with published directives, and proper concurrence and clearance.
  • Composes correspondence of a non-policy nature from brief oral instructions. Prepares interim replies on action documents and composes memos for the record for distribution on matters of common interest.
  • Gathers materials on request for use in preparing for staff studies, correspondence, reports, reviewing actions, program planning, conferences and other purposes.
  • Locates material from records and files or other organizational components; extracts, compiles and summarizes the material.
  • Maintains a calendar of appointments, meetings and conferences for the supervisor; makes appointments, sets dates for meetings or conferences, and accepts requests for participation. Ensures meetings do not conflict and reminds the supervisor of appointments, reschedules or shifts in appointments as necessary.
  • Makes necessary arrangements for conferences and meetings such as obtaining conference rooms, notifying-conferees, assembling background and reference materials. Attends conferences as appropriate, takes notes and prepares summaries of meetings to include notations of assignments and deadlines.
  • Maintains subject matter and related files necessary to conduct work in supervisor's office including supervisor's personal and confidential files. Determines the need for establishment of new files, or revision of existing file structure. Locates files, or material and information contained in the files as requested.

Qualifications

Minimum Qualifications:

Grade 9: High school diploma or GED and five (5) years of general secretarial or clerical experience. Confidentiality, attention to detail, exceptional customer service skills and impeccable follow up skills are required.

Education Substitution:
  • Associates degree plus three (3) years of general secretarial or clerical experience.
  • Bachelors degree plus one (1) year of general secretarial or clerical experience.

Grade 10: High school diploma or GED and six (6) years of general secretarial or clerical experience. Confidentiality, attention to detail, exceptional customer service skills and impeccable follow up skills are required.

Education Substitution:
  • Associates degree plus four (4) years of general secretarial or clerical experience.
  • Bachelors degree plus two (2) years of general secretarial or clerical experience.

Experience in a court or legal environment, especially in a budget & finance office is preferred.

Documentation of education (copy of HS diploma, GED, college diploma, transcript, or certificate) must be submitted with your application or your application will not be considered.

This job is being filled by an alternative hiring process and is not in the competitive Federal civil service.

Please note there is a mandatory one year probationary period for all non-judicial new employees.
