Heart Havens seeks a House Manager to work at our Tate Home in Ashland, Virginia who embrace our mission of empowerment and share our values of accountability, integrity, respect, and empathy. This is a full-time, exempt position . The House Manager is responsible for the daily operation of the assigned residential program and maintaining compliance with operational standards as directed by administrative leadership. As the supervisor of the Direct Support Professionals (DSPs), the House Manager must demonstrate person-centered skills and professional conduct in all of their actions. The House Manager is responsible for ensuring residents in the program receive person-centered supports and appropriate supervision on a 24-hour basis. Minimum Education and Experience: Four (4) year degree in Human Services or related field with a minimum of one year of related supervisory experience, or an equivalent combination of education, training, and experience. Required Skills: -Must model Heart Havens' mission and values in daily actions and leadership. -Must be able to work independently with minimal supervision. -Must have supervisory skills, including ability to provide employee recognition and constructive feedback. -Must have writing skills to prepare individual program reports, complete documentation, and communicate across departments. -Must have excellent oral communication skills to maintain effective working relationships with residents, family members, employees and other stakeholders. -Ability to create a welcoming, motivating, and team-oriented work environment in the program. -Ability to implement processes to effectively manage job duties. -Ability to organize schedule and prioritize conflicting deadlines. -Ability to implement and follow the policies and procedures of Heart Havens to maintain compliance with state and federal regulations. -Ability to perform First-Aid, Behavior Management interventions, and support residents with Activities of Daily Living. -Must have sufficient computer skills in Microsoft Word and Excel. -Must maintain required certifications: Therapeutic Options (TOVA), Medication Administration, and First Aid/CPR/AED. Essential Functions: -Manages the daily operation of the residential program according to policies and procedures, and direction of Heart Havens administration. -Collaborates with the Program Director to evaluate and improve program performance in areas including but not limited to resident care, regulatory compliance, and staff supervision. -Engages in quality assurance tasks and maintains program files to ensure compliance with state and federal regulations. -Supervises program's medication administration processes by ensuring adequate supply of medication is on hand, auditing electronic medication records, and verifying pharmacy records are accurate and filed correctly. -Supervises DSPs and Lead DSP through consistent observation, and providing constructive feedback and praise. -Completes monthly staff schedule that ensures adequate coverage for resident support and effectively uses staff hours. -Resolves staff scheduling issues and provides Direct Care to residents, as needed, to ensure coverage of the schedule to include overnights and weekends. -Submits requests and recommendations for staffing plans to Program Director for discussion and approval. -Completes monthly supervision and conducts disciplinary action, including performance improvement plans, as needed. -Completes new staff orientation, including training on the needs of the residents, completion of the orientation checklist and shadowing, and the DSP competency chart. -Functions as the primary point of contact for case managers, family members, substitute decision makers, doctors, and day support/vocational staff and notifies appropriate team members of incidents, behavioral changes, medical updates, and routine communication. -Identifies and responds to changing health and behavioral needs of the residents by reporting concerns to the Program Director, and obtaining appropriate referrals and care as needed. -Manages residents health records, ensuring changes in diagnoses, medication, and health status are recorded accurately and communicated to members of the resident's support team. -Schedules and attends resident's routine medical appointments, documents outcomes and recommendations, completes all necessary follow-up, and reports critical information to team members. -Participates in Individual Support Plan (ISP) development by attending ISP meetings, completing annual consent forms and assessments, and communicating changes to the Program Director. -Actively engages in and supervises the implementation of the outcomes and support instructions outlined in the Residential Plans for Supports. -Assesses the progress of outcomes via ISP documentation review and completion of quarterly Person-Centered reports. -Manages house petty cash, Heart Havens credit card, and resident spending money by ensuring transactions are recorded appropriately, receipts are verified, and cash on hand matches records. Follows budgetary guidelines set forth by the COO when using Heart Havens funds. -Maintains the program emergency manual and can demonstrate how to safely evacuate the home. -Participates in on-call rotation with LDSP as approved by Program Director. -Performs other job-related duties as assigned.
