Position provides a variety of services to assigned markets in Boston, the New York metro area, and the DC metro area (total employee population of approximately 1,100). Interacts regularly with market regional managers and employees as well as HR teammates across the company. Performs administrative tasks supporting the employee lifecycle from point of hire to separation. Responsible for the timely input of HR data and the ongoing maintenance of employee records. Assists with special projects as needed. Primary Duties Manage employee file transfer project (scan existing hard-copy employee files and transfer contents to Google Drive folders) Input employee transaction data related to new hires, status changes, promotions, transfers and terminations in a timely manner Provide onboarding support to new hires beginning with creation and distribution of offer letter Assist New York HR Manager with administrative support for employees represented by 5 unions in the New York market: manage monthly invoicing, initiate benefits notifications and report new hires and terminations; provide audit data as requested (current employees only); provide wage and benefits reports for annual budgeting process; assist in rectifying payroll deduction discrepancies Direct employees to appropriate resources for payroll/benefits or other HR-related questions Assist with questions related to timekeeping policies, procedures, and systems Provide verbal and written employment verifications to outside parties Respond to unemployment claims using Equifax system Prepare general correspondence for employees as needed; compose and/or edit memos and letters on company letterhead Prepare HR Directors Travel & Expense reports and submit paperwork for monthly cell phone stipend; order monthly transportation cards for New York market Organize and manage files for annual HR audit; ensure that required paperwork for new hires and terminations is complete with necessary signatures on file Conduct exit interviews as requested Provide employee relations support in the form of information gathering; research; document collection; document review; and assistance with internal investigations Qualifications/Experience 3+ years of progressive experience in an HR support capacity, including administrative and employee relations support Proficient with computer systems and HRIS platforms Excellent written/verbal communication skills Ability to work independently, following written or verbal instructions Strong time management skills with ability to handle multiple tasks simultaneously while maintaining accuracy; commitment to meeting deadlines High degree of comfort and integrity working with confidential data and sensitive information Positive attitude and commitment to customer service Willingness and ability to take initiative Sound judgment and good decision-making skills Experience with unions preferred but not required Tools, Equipment and Software Dell laptop computer Document scanner with USB port Google platform (Drive, documents, sheets, slides) Microsoft Office Suite Oracle Fusion Oracle Recruiting Cloud Equifax unemployment platform
