Role Overview:The Purchasing/Accounts Payable Clerk will be an integral member of the accounting team and will work closely with the Accounting Manager to strengthen the company's ordering process, cost management, accounting and operational functions. The Purchasing/Accounts Payable Clerk will be responsible for generating and managing all purchasing for both the commercial and retail departments. In addition, the Purchasing/Accounts Payable Clerk will be providing back-up assistance to the Accounting Manager in managing payables, receivables, payroll, and financial reporting. The ideal candidate will come from a similar industry background with relative construction and cost accounting experience.DutiesGeneral Responsibilities:Responsible for posting payments and preparing bank deposits.Verifies purchase requisitions by comparing items requested to master list; clarifying unclear items.Responsible for entering order details (eg, vendors, quantities, prices) into internal databases and assigning available stock to orders.Prepares purchase orders by verifying specifications and price; obtains recommendations from suppliers as requested.Obtains purchased items by submitting orders via supplier portals, phone, and/or email.Tracks the status of orders.Resolves shipments in error with suppliers and handles claims as needed.Verifies correct material has been received and pricing is correct. Enters invoices into database for payment.Keeps information accessible by sorting and filing documents.Provides purchasing planning and control information by collecting, analyzing, and summarizing data and trends; including cost analysis.Negotiates contract terms of agreement and pricing.Monitor stock levels and place orders as needed.RequirementsRequirements/Qualifications:Proven work experience in Purchasing, Bookkeeping or similar role in a similar industry and environment is preferred.Maintain an unrelenting commitment to quality and customer service.Good knowledge of vendor sourcing practices (researching, evaluating, and liaising with vendors).Understanding of supply chain procedures.Solid analytical skills, with the ability to create financial reports and conduct cost analyses. Strong communication and interpersonal skills, with the ability to interface with all levels of the organization including management.Versatility, flexibility, and a willingness to work within constant changing priorities with enthusiasm; while maintaining efficiency.Must be detail-oriented with a high degree of accuracy while multi-tasking in a fast-paced environment.
