Office and Outreach Support (Part-Time) - Day

Purpose Statement:

The job of Office and Outreach Support was established for the purpose/s of providing secretarial support at the Adult Learning Center Braddock Place site; establishing and maintaining records; compiling and distributing materials and reports, and responding to inquiries from a variety of internal and external sources.

Qualifications

Experience: Job-related experience is desired.

Education: High School diploma or equivalent.

Skills, Knowledge, and Abilities:

SKILLS are required to perform multiple, non-technical tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill-based competencies required to satisfactorily perform.

KNOWLEDGE is required to perform basic math, including calculations using fractions, percentages, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and understand complex, multi-step written and oral instructions. Specific knowledge-based competencies required to satisfactorily perform the functions of the job include business telephone etiquette.

ABILITY is required to schedule activities; gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to work with others in a variety of circumstances; work with data utilizing defined but different processes, and operate equipment using defined methods. Ability is also required to work with a diversity of individuals and/or groups; work with similar types of data, and utilize job-related equipment. Problem-solving is required to identify issues and create action plans. Problem-solving with data requires independent interpretation of guidelines, and problem-solving with equipment is limited. Specific ability-based competencies required to satisfactorily perform the functions of the job include: communicating with diverse groups; displaying tact and courtesy; maintaining confidentiality; setting priorities; being attentive to detail; working as part of a team; and working with frequent interruptions.

Responsibilities:

Responsibilities include: working under direct supervision using standardized routines; providing information and/or advising others; and operating within a defined budget. Utilization of some resources from other work units may be required to perform the job's functions. There is a continual opportunity to have some impact on the Organization's services.

Work Environment:

The usual and customary methods of performing the job's functions require the following physical demands: occasional lifting, carrying, pushing, and/or pulling; and significant fine finger dexterity. Generally, the job requires 80% sitting, 10% walking, and 10% standing. The job is performed in a generally hazard-free environment.

Essential Functions:
  • Coordinates schedules, meetings, and activities for the purpose of supporting administrator/department staff with operational activities
  • Maintains a wide variety of files and records (manual/computer; confidential/non-confidential) for the purpose of providing documentation in accordance with administrative and legal requirements
  • Performs record-keeping and clerical functions (e.g. scheduling, copying, etc.) for the purpose of supporting the teacher and/or administrator in providing necessary records/materials
  • Prepares a variety of written materials (e.g. reports, memos, outreach materials, etc.) for the purpose of documenting activities, providing written reference, and/or conveying information using technology and social media.
  • Responds to a variety of inquiries from internal and external parties (e.g. staff, parents, students, public agencies, etc.) for the purpose of providing information, facilitating communication among parties, and/or providing direction
  • Supports school office functions for the purpose of delivering services in accordance with established guidelines.
  • Will assist with student assessment management.
  • Outreach to current and future students.
