Project Coordinator/Analyst

About the Department: University Life Operations and Planning strives to be a trusted and strategic partner by aligning divisional shared services and resources to advance University Life's mission of fostering student learning, development and success.

Responsibilities: The Project Coordinator/Analyst will work as part of the University Life Project and Process Management team. Work includes initiating and monitoring the progress and deliverables in assigned project areas and assisting UL and related functional offices with project lifecycle management and business process analysis.

Coordinate UL divisional projects ranging from strategic initiatives, enterprise software implementation to annual conferences: * Receives guidance from and reports progress to the Director of UL Project and Process Management; * Leads projects through the project management lifecycle, including preparing the project charter and project plan, managing the schedule and conducting a project debrief; * Ensures project lifecycle documentation is complete and shared with stakeholders; * Reports regular project status to project sponsors, owners, and impacted parties; * Coordinates project team members to ensure work is being completed according to schedule; * Coordinates and schedules project activities with other stakeholder groups as needed.

Support business process analysis activities: * Assists UL Project and Process Management Team with mapping current and future business processes; * Assists UL Project and Process Management Team with identifying pain points and possible solutions.

Conduct preliminary research into project options being considered to inform UL leadership on pros and cons: * Reviews current enterprise systems and gathers requirements; * Conducts vendor research for enterprise software implementation projects; * Facilitates focus groups with students and staff.

Other duties as assigned: * Assists with developing a project and process management toolkit; * A project may include an event; assists with events planning, execution and assessment as needed.

Required Qualifications: * Bachelor's degree in Business, Communications or related field of study, or an equivalent combination of education and experience; * Possess strong written and verbal communications skills - ability to craft and deliver a message to audiences ranging from staff to executive level management; * Demonstrate knowledge of and experience with Project Management; * Demonstrate the ability to manage and work on multiple projects/tasks while meeting tight deadlines; * Excellent attention to detail and superb organization skills; * Ability to work as part of a team with moderate supervision; * Demonstrated work experience in a project-based environment.

Preferred Qualifications: * Master's degree; * CAPM certification; * Experience in a higher education setting; * Experience with business process analysis; * Experience with platform requirements gathering; * Experience with Smartsheet, Microsoft Project for the Web, or other project-management related software.
