A small commercial real estate firm is seeking an Office Administrator/Executive Assistant to support CEO and the team with business activities in Virginia, DC, Maryland and West Virginia.

Responsibilities:
  • Coordinate internal meeting scheduling, coordinating office activities and operations, assisting CEO with travel and expense reporting, and other critical tasks
  • Real Estate license renewal coordination
  • Responsible for on-boarding and off-boarding new hires and employees who leave the company
  • Support budgeting, invoicing and interface with bookkeepers and accountants
  • Commission accounting- billing and collections
  • Accounts payable to outside vendors
  • Technology liaison to outside vendors/consultants (computer services, copiers, on line services, property signs)
  • Assist with preparing for client presentations and creating documentation
  • Coordinate and attend 2-3 trade shows annually

Assist CEO with property management duties including:
  • Annual Budgeting
  • Paying vendors
  • Coordinating day to day maintenance
  • Occasional shopping center visits and inspections


Job Requirements

Qualifications:
  • BA/BS
  • Positive, energetic and professional demeanor
  • Ability to work in a collaborative team environment
  • Excellent communication skills and interpersonal abilities
  • Solid organizational skills
  • Desire to be a core member or leader of the team
  • Project management skills
  • Familiarity with office management procedures and basic accounting principles
  • Willingness to "roll up sleeves" and pitch in; take charge approach
  • Proactively recognize opportunities to add value
  • Proficient with Word, Excel, PowerPoint, Outlook and QuickBooksPro
