HR Assistant (Part Time)

The Human Resources Assistant is responsible for cross-functional administrative, and operations support of the USRA multi-site HR department. The HR Assistant liaises closely with many other departments throughout the organization to provide customer focused and effective HR services. Additional emphasis on HRIS operational processes and systems, supporting initiatives, programs, and process improvement. Successful candidates for this role are highly organized and efficient, able to multitask and prioritize effectively to accomplish objectives with creativity, initiative, and mindfulness while maintaining a positive attitude and strong work ethic. Essential Duties/Responsibilities: Department Specific: Works closely with HR leadership team on special projects including automation and process improvement initiatives.Engages regularly with site HR Business Partners on processes and procedures in support of their programs.Supports sensitive and confidential matters including personnel relations, employee relations, and organizational changes.Plans and protects the security and integrity of information, data, and files. Drives transition to digital files for all relevant HR documentation into employee records. Ensures historic records are maintained and in proper order.Participates in the employment life cycle from recruiting, hiring, onboarding, status change, employment verification, unemployment, FMLA, and offboarding in coordination with multiple sites and functions. Process and troubleshoot personnel actions into ADP in a timely manner, partnering with Payroll to ensure integration of actions.Assists with the administration of benefits programs ensuring the accuracy of benefits data and consistently validating the benefits structures align properly with company goals.Collaborates with other internal functional teams (Payroll, IT, Finance) to identify, plan, and execute process improvement opportunities across these teams.Coordinate recognition, volunteer and staff training events or programs. Assists at general USRA meetings, as needed.General: Process invoices, purchase orders, reimbursements, and provides general record keeping for HR leadership for reconciliation of department budget.Perform a range of office administrative and secretarial tasks within highly confidential areas. Establishes and maintains complex filing systems, processes mail, performs faxing, photocopying, dispatch mailings, and orders office supplies and equipment.Prepare correspondence in accordance with established policies and procedures; prepares a variety of materials, including administrative and public reports.Provide back-up front desk coverage for the Columbia, MD Headquarters office, including, but not limited to: answering the telephones, greeting and attending to visitors in professional and efficient manner; coordinating conference room needs; and, providing Wi-Fi access to visitors and staff, etc.Other job-related duties as assigned.Required Skills: Education:High School Diploma. Bachelor's degree, HR Management a plus.Experience:Minimum of three (3) years in an HR assistant/generalist track role. or any combination of training, education and experience which provides applicable knowledge abilities and skills. Competent in ADP Workforce Now (TM) applications and functionality.Knowledge, Skills & Abilities:Basic knowledge of HR and its functional areas.Excellent organization skills with demonstrated ability to set priorities and manage, coordinate, and perform multiple, complex tasks simultaneously.Ability to maintain confidentiality, specifically as it relates to HR matters.Possess strong communications skills, verbal and written. Good eye for catching typos and grammatical errors.Strong customer orientation in a dynamic environment with multiple decision makers.Excellent interpersonal skills with the ability to interact effectively and positively with all levels of the organization. Must have the ability to show understanding, patience and tact when dealing with scientists, staff, and the public.Possession of analytical skills needed to handle non-routine, moderately complex administrative tasks and data analysis.Ability to concentrate and pay close attention to detail when processing and reconciling vouchers and creating and proofing written materials.Technology: Highly computer literate with knowledge, experience, and skills of operations of HR Information Systems, including proficiency in Microsoft Word, Excel, PowerPoint and other commonly used Macintosh or Windows office applications.Proficient with ADP Workforce Now (TM) . Understands other business software systems including payroll, procurement, performance management and learning management system. Act as interface with 3rd party vendors.Skilled in providing training with the HR department and the entire organization to ensure maximum and efficient use of HRIS applications; develops user procedures, guidelines, and documentation.Ensures HRIS system data integrity by addressing system queries/issues, testing system changes, writing reports and analyzing data. Performs quality checks of HR, payroll, compensation, benefits, and employee health related data.Working Conditions: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, etc. Extensive online usage. This is largely a sedentary role.
