Job Announcement

Reporting to the County Executive, this position provides an array of support for a variety of tasks that are essential to the operation of County Government. The selected candidate will serve as a liaison on behalf of the County Executive with the Board of Supervisors, Senior Management Team, all levels of County employees, County Boards, Authorities and Commissions, and high-level officials from other organizations, both public and private. Exercises initiative in dealing with non-routine and specialized administrative issues and works with little or no supervision. On behalf of the County Executive, responds to inquiries both verbally and in writing, independently researches and resolves problems or complaints that are often time sensitive.

This position also serves as overall administrative operations manager for the Office of the County Executive and Deputy County Executives, including direct supervision of front desk staff, coordination of front desk support and coordination of leave requests for administrative staff. Plans agenda and coordinates monthly administrative staff meetings. Further duties include but are not limited to:

  • Provides exceptional customer service, both verbal and written correspondence follow-up, and reporting.
  • Establishes and maintains strong working relationships with Board staff, Senior Management Team, County Boards, Authorities and Commissions, as well as staff within the Office of the County Executive.
  • Organizes and manages multiple priorities and coordinates the County Executive's comprehensive detailed schedule to include screening meeting requests and ensuring room availability and required materials.
  • Compiles and tracks organizational information.
  • Drafts and prepares correspondence and reports.
  • Maintains a strong working knowledge of county operations and related policies and procedures.
  • Maintains strict confidentiality of information and politically sensitive issues where appropriate.
  • Uses county software programs to develop, maintain, and disseminate documents and reports.
  • Coordinates all travel related business for the County Executive and possibly outside visitors.
  • Manages and tracks FOIA responses for the Office of the County Executive, Administration of County Policy function.
  • Serves as a resource to all administrative positions in the County Executive's Office and other duties as needed.
Note: The assigned functional areas of the position are executive level assistance, program management, and project coordination.

  • Knowledge of the principles, practices and techniques governing management, organization, operations and programmatic services;
  • Ability to identify and describe a range of possible solutions for solving business problems;
  • Ability to apply research methods to design studies and assessments, and statistical analysis techniques to identify patterns and trends in data;
  • Ability to use word processing and presentation software to prepare documents, and to use spreadsheet and statistical analysis software packages to store, manipulate, analyze and present data;
  • Ability to train, lead, and/or supervise paraprofessional staff.


Employment Standards

MINIMUM QUALIFICATIONS:
Any combination of education, experience, and training equivalent to the following:

Graduation from an accredited four-year college or university with a bachelor's degree in the field related to the assigned functional area; plus two years of professional work experience within the functional area.

PREFERRED QUALIFICATIONS:
  • Experience in an executive office environment, working directly with senior management and/or the Board of Supervisors and/or County Boards, Authorities, and Commissions, as well as outside organizations and officials.
  • Extensive knowledge of the operations of the county and its operating policies and procedures.
  • Experience managing administrative operations and support staff.
  • Excellent organizational skills with attention to detail.
  • Ability to maintain confidentiality and is sensitive to the county's political issues.
  • Knowledge of the county's policies, priorities, and protocol.
  • Excellent verbal and written communication skills.
  • Ability to establish and maintain effective working relationships with external and internal contacts.
  • Ability to function independently, have strong decision-making skills, and be adaptable to change.
  • Ability to work extended hours if needed.
  • Proficient in Microsoft Office Suite software with an emphasis on Outlook and Word.

NECESSARY SPECIAL REQUIREMENTS:
  • The appointee to the position must satisfactorily complete a criminal background check.
  • This position is considered "essential personnel" and will be required to report to work during times designated countywide as approved for unscheduled leave regardless of the emergency situation (i.e., weather, transportation, other disaster).

PHYSICAL REQUIREMENTS:
Generally sedentary, performed in a busy office environment. All duties performed with or without reasonable accommodations.
