Administrative Assistant to General Counsel

We are seeking an Administrative Assistant who, under the direction of the General Counsel, will provide critical administrative support. The Administrative Assistant is responsible for coordinating various administrative tasks to include; drafting a variety of correspondence, coordinating contracts, database management, and coordinating with internal and external stakeholders on key deliverables. They will assist with compliance requirements and critical deadline management. The Administrative Assistant will apply critical thought and exercise sound judgment and problem-solving skills to ensure consistent delivery of their commitments.

Responsibilities:

  • Completes a variety of administrative tasks in support of the General Counsel including responding to requests for information, preparing expense reports, board communication and the preparation of meeting materials, electronic and paper file maintenance
  • Serves as the initial reviewer of a variety of documents applying a keen eye for accuracy, completion, and adherence to standard contract provisions, and assists Managers with preparing contract drafts
  • Responsible for the coordination and database management of contracts and license renewals, including the input of data and coordination with internal and external stakeholders to gather and maintain pertinent information
  • Coordinates the state charitable solicitation licensure process, including gathering the required information, participating in the application review and revision process, monitoring filing deadlines and application submission dates
  • Provides support for compliance requirements, document retention, calendaring submission deadlines, and coordinating with staff regarding the submission review proces
  • Conducts research on various subjects to include regulations, laws, and legal articles to assist with the preparation of reports, correspondence, meetings, and updating policy and procedures
  • Supports a variety of initiatives to include our Health & Safety initiatives during the

COVID-19 pandemic

Qualifications: 

  • Bachelor’s degree with a minimum of 3 years of related professional experience or the appropriate combination of education and experience
  • Demonstrated ability to apply critical thought to foresee issues before they arise and work proactively to solve problems
  • Outstanding interpersonal skills and the ability to work with individuals and teams at all levels of the organization
  • Excellent written and verbal communication skills
  • Demonstrated ability to work independently and exercise sound judgment
  • Computer proficiency in Microsoft Office Suite and database management skills
  • Demonstrated ability to manage and maintain confidential/sensitive matters and information in a professional manner
  • Demonstrated ability to analyze and develop recommendations concerning contract provisions and requirements
  • Superb attention to detail, as well as organizational and multi-tasking skills
