The Operations Assistant will provide administrative support, including clerical, quality assurance, travel assistance, procurement, and accounting services in support of the Cyberstar senior staff and program management office.

  • Maintain all general administrative support functions to the office to ensure efficient utilization of time and resources
  • Schedule and organize President and/or senior staff calendar activities
  • Correspond and respond independently to general incoming emails and phone calls and prepare formal correspondence on behalf of executive staff
  • Plan and coordinate meetings and events both on and off-site
  • Prepare briefings, program abstracts, summaries, including standardizing briefing formats, weekly activity reporting, and directory structures
  • Support Business Development (BD) efforts in collaboration with Chenega MIOS BD team on sources sought, RFIs, and capabilities briefings, etc., including grammar and editing review
  • Track CSR opportunities and provide pipeline updates/reports, weekly status reports, monthly status reports and briefings to company and/or Chenega MIOS BD team
  • Interface and provide required support with all MIOS functional area points of contact, including Purchasing, Contracts, Human Resources, Recruiting, Quality, Security, and Administration
  • Collaborate with MIOS Finance to aid and support as required, including but not limited to invoice processing, timecard compliance and timecard submission deadlines, purchase card coding, expense reporting, and other ad hoc activities as required
  • Collaborate with Program Managers to track, develop, and provide program deliverables
  • Organize and prioritize large volumes of information
  • Lead all quality compliance efforts for the company, including audit prep, PM training, SharePoint project site set-up, and monthly management monitoring
  • Other duties as assigned

  • High school diploma or GED
  • 2+ years' experience supporting with administration or supporting office operations
  • Background check required

Knowledge, Skills and Abilities
  • Pursuing bachelor's degree in Public Relations, Communications, Journalism, or a Business related field is preferred
  • Advanced working knowledge of computer software applications, including Microsoft Word, Excel, PowerPoint, SharePoint, and Outlook.
  • Experience with Project, Publisher, and Access is a plus
  • Excellent interpersonal and communication skills (both verbal and written) and proven ability to work effectively with all organizational levels
  • Process oriented with strong organizational, multitasking, and prioritization abilities
  • Ability to work independently as well as in a team environment
  • Full mastery of the English language, including proper grammar and spelling
  • Must have the ability to maintain a high level of confidentiality, ethics, and integrity
  • Ability to work under pressure and time constraints10% travel may be required
