Job Announcement

Under close supervision, provides coverage to the Circuit Court Clerk’s Office front desk area, and a variety of administrative and clerical support for the Circuit Court. Regular and predictable attendance is an essential function of the job. Promptly answers telephone calls and appropriately directs callers. Receives clients and visitors in a courteous and professional manner. Assists the clients by directing them to appropriate divisions within the Fairfax Circuit Court, or other Courts in the courthouse building when appropriate. Serves as a primary contact for proxy cards (facility access) issues. Reports the employee’s proxy cards malfunction to the Office of Sheriff to address the issues. Plans and coordinates special events and office functions, such as holiday parties and Employee Appreciation luncheon. Assists with the filing and scanning documents, and data entry as directed. Performs related duties as required.

Note: The assigned functional areas of this position are general office administration, customer service and office management.

Notifies all participants of meetings and other functions in advance;
Schedules routine meetings.

Produces and electronically distributes simple documents (e.g., flyers).

Office Management
Maintains a system for tracking the progress of work;
Orients new employees on procedures and systems.

General Administrative
Performs alpha and/or numeric filing;
Performs simple screening and sorting of mail;
Is responsible for sending dated material.

Receptionist/Public Contact
Refers calls;
Greet visitors;
Gives standard information in response to phone or in-person inquiries;
Acts as back up to other administrative positions.

Word Processing/Typing
Keys/types form letters, labels, simple documents and correspondence;
Proofs spelling.

Required Knowledge Skills and Abilities

Employment Standards

MINIMUM QUALIFICATIONS:
Any combination of education, experience and training equivalent to high school graduation and one year of experience providing administrative support in the assigned functional area(s).

PREFERRED QUALIFICATIONS:
  • Some experience working in a Court and/or legal environment
  • One or more years of experience in providing front-line customer services
  • Knowledge of the Code of Virginia and regulations in relevant areas
  • Excellent attention to detail and organizational skills
  • Clear and concise oral and written communication skills
  • Experience working in a team environment
  • Ability to exercise tact, discretion, initiative, creativity, and independent judgment
  • Experience in the use of Microsoft Office computer software, especially
  • Word, Excel, and Outlook.

NECESSARY SPECIAL REQUIREMENTS:
The appointee to this position will be required to complete a criminal background check to the satisfaction of the employer.

PHYSICAL REQUIREMENTS:
Ability to lift up to 30 lbs. Ability to input, access, and retrieve information from a computer. All duties may be performed with or without reasonable accommodations.
