Job Description

The primary responsibility of this position is to provide expertise in in-store and out-of-store sign usage and sign development. Responsible for all aspects of purchase order (Coupa) requests, and In Store Communication sign requests. Additionally, provide support for print project management (Workfront) jobs, store grand openings & store re-grand openings. Work closely with Creative Service, Accounting/Finance, vendor community and other key stakeholder to provide support for print and financial needs.

  • Create and submit purchase orders within financial application (Coupa) daily.
  • Verify and process all PO notifications / invoice approvals within financial application (Coupa) in a timely & accurate fashion.
  • Provide financial information to management by researching and analyzing Marketing expense data; preparing reports.
  • Verify / research period accruals for In Store Communications to Finance.
  • Notify job owners of outstanding purchase orders that remain open & have been added to accrual list.
  • Review purchase order requests and process purchase order requests accordingly.
  • Input Marketing print job requests into project management (Workfront) application.
  • Direct vendors to accounting (accounts payable) for any changes that are needed or for inquiries on unpaid invoices.
  • Respond to and fulfill In Store Communication sign requests.
  • Ensure prompt resolution to In Store Communication sign requests.
  • Manage In Store Communication sign inventories and process for replenishment of materials required by stores
  • Provide support to management, vendors, and accounting regarding status of payment, invoice disputes.
  • Understand various sign/print substrates and print technologies for giveaways and other print jobs.
  • Inspect quality integrity to ensure compliance with standards.
  • Maintain and communicate Giant Pick Up (E-Commerce) roll out schedule to appropriate parties.
  • Assist with developing Marketing giveaway recommendations.
  • Track number of purchase order requests and In Store Communication sign requests received on a period basis.
  • General admin duties and additional duties may be assigned.
  • Provide reminders regarding purchase order (Coupa) entries each period.
  • Manage/Assist in new vendor set up for Marketing team
  • Create/Setup items for In Store Communication store orders in web application (Coupa).
  • Visit stores as needed for grand openings, re-grand openings and other store signage research
  • Visit competitors as needed for industry research

Essential Skills

Skills Summary:
  • Must be proficient in MS Office applications (especially Excel).
  • Ability to handle a variety of project work in a demanding fast-paced environment.
  • Strong organizational skills; detail oriented.
  • Ability to plan, prioritize work, meet deadlines and follow through.
  • Math and bookkeeping skills required. Such as calculating change, discounts, percentages etc.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
