Referred to as "the crown jewel of Harbor East" the Four Seasons Hotel Baltimore has 256 guest rooms including 45 suites.The role of the Executive Administrative AssistantProvide administrative, operational, and functional support to the Office of the Regional Vice President and General Manager as well as the Hotel Manager, including its oversight responsibilities for all areas of the hotel.Proactively manage logistics for internal and external meetings and schedules for the RVP/General Manager and Hotel Manager, including those they initiate. Manage internal and external communications from and to the RVP/General Manager and Hotel Manager. Anticipate scheduling and proactively managing the commitments of the RVP/General Manager and Hotel Manager with a keen sense of when approval is and is not necessary. Attend and contribute to morning operations meetings and distribute pertinent information accordingly, including meeting minutes. Oversee coordination of bi-weekly manager meetings and produce presentation materials.Act as the Regional Project Lead to oversee guest service levels and feedback for 50 of the company's high-profile clientele through the Elite Global Recognition program. Utilize the Worldwide Corporate network to coordinate corporate brand experience for Four Seasons Elite guests, GM, and Corporate Executives. Manage high-level executive office reservations for ownership and VIPs as needed. Interact with Ownership contacts as well as Corporate office and execute requests accordingly. Highlight/alert RVP/HM on special attention guests-upon booking and before arrival.Complete the initial attempt to resolve guest concerns that reach the Executive office including full research. Analyze guest satisfaction systems and financial reports to create solutions for immediate guest resolution. Own the completion of service recovery. Serve on the Medallia committee and Direct Line Committees.Manage daily media inquiries in collaboration with Director of Marketing and Public Relations Director. Coordinate, vet and process community and philanthropic gift certificate donations upon approval.Ability to work on special projects from time to time for Quality Assurance (Forbes, AAA, LQA) and communicate internally as needed.Liase with 3rd party Restaurant Partner Atlas Restaurant Group for business flow and forecasts.The ideal candidate will possess the following strengths:Phone skills and verbiageStrong Communication Skills - Written & VerbalHigh Degree of InitiativeStrong personal presentation.
