Administrative Associate Carroll Community College seeks a full-time Administrative Associate - Nursing. JOB SUMMARY The Administrative Associate provides general administrative support to the Nursing and Allied Health Programs. This position reports to the Chair of Allied Health. ESSENTIAL JOB FUNCTIONS: Produces memos, letters, syllabi, quizzes, exams, handouts, and other class materials for allied health program directors, faculty and adjunct faculty as assigned. Photocopies documents, distributes incoming mail, orders supplies (including specialized medical equipment using electronic purchasing system), and maintains filing systems. Answers telephone; refers calls to appropriate parties as necessary; provides assistance to students by providing basic program information or by recommending a proper course of action. Scans and links documents using Preceptive Content. Functions as Administrative Associate for the PTA and EMS programs in the absences of the Administrative Associate - Allied Health. Provides support to clinical program coordinators in the administration, record keeping and correspondence for student admissions to clinical programs; provides clerical coordination and correspondence with clinical sites and/or internship sites. Maintains cost center budget records and reconciles monthly expenditures. Assists in gathering information for special projects, state reports, accreditation activities (outcome data, program survey materials) and program development. Prepares adjunct faculty contracts and full-time faculty workload documents for approval. Advises adjunct faculty as to the proper dispensation of applicable academic and college procedures including, but not limited to: proper syllabi format, absence reports, submission of final grades, student correspondence, mail, photocopy, other relevant administrative processes. Assists with Nursing Pinning ceremony preparations. Assists with the processing of state licensing examination applications and prepares for signature. Assists with the production and filing of confidential material regarding faculty, staff and student concerns. Prepares and distributes instructor evaluations twice per semester. Coordinates completion of book order forms for the assigned division and resolves problems. Supervises student aides. Purchases and prepares awards for students. Posts notice regarding faculty absences, along with any notes regarding class assignments. Updates and maintains copies of course syllabi, program brochure, application materials, malpractice insurance coverage and evaluative material for clinical sites. Assists in planning, organizing, and executing orientation, information sessions and other allied health events. Performs other duties as assigned. MINIMUM REQUIREMENTS TO PEFORM WORK: High School diploma or equivalent. Two years of prior office support experience. Keyboarding speed of 45 wpm. Proficiency with word processing and other office software applications in a Windows environment (eg spreadsheet, database, presentation graphics, web authoring software). Knowledge of medical terminology. Preferred knowledge of electronic scanning equipment and electronic purchasing systems. Must be positive, cooperative and supportive. PHYSICAL DEMANDS: This work is normally sedentary work which requires exerting up to 10 pounds of force occasionally and or negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body. Additionally, the following physical abilities are required: Hear/talk/communicate-Must be able to exchange information and communicate Visual acuity-Ability to perceive or detect surroundings Mental acuity-Ability to focus, concentrate, understand and convey subject matter Repetitive motion (ie keyboarding) Stand/sit/walk-Able to move or traverse from one area to another WORK ENVIRONMENT: College campus, direct contact with students, staff, faculty and the general public in classrooms, common areas, offices, and campus environments. Work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as office, meeting, and training rooms. Use of safe workplace practices with office equipment; computers for data entry and word processing; avoidance of trips and falls; observance of fire and building safety regulations; and observance of traffic laws when/if driving a College vehicle.
