Responsibilities:

  • Coordinate meeting schedules for Vice President and Development Team
  • Ensure conference rooms are equipped with supplies, weekly tracking and ordering of office and kitchen supplies
  • Sort and Distribute incoming mail and packages
  • Coding Invoices for approval
  • Coordinate office equipment maintenance and repairs, ensuring supplies are stocked: copier, scanner, fax, wide format copier and postage machine
  • Manage on-site and off-site storage
  • Administrative support for Homeowners Associations (HOA) & participate as Board Secretary
  • Screen and direct incoming calls while providing outstanding service
  • Although not highly trafficked, greet persons entering organization warmly and professionally

Qualifications/Background profile:

  • 5+ years of recent, relevant, previous administrative support experience
  • Excellent phone etiquette with strong interpersonal skills to include written and verbal
  • Time management skills
  • Strong Excel knowledge with the ability to create simple spreadsheets, formulas and manipulate spreadsheets
  • Strong Word knowledge with the ability to create tables, outlines, minutes and agendas
  • Strong Outlook knowledge: ability to schedule meetings, update and cancel meetings, attach agendas and backup to invitees
  • Must be able to pass a drug and criminal background check
