Summary

The Communications Assistant position is within the SPO team at USAID's Office of Civil Rights and Diversity and supports internal and external communications

The Office of Civil Rights and Diversity provides overall guidance and direction to USAID leadership and workforce in pursuit of cultivating a diverse and inclusive environment where all members have the opportunity to contribute and reach their fullest potential in their profession. OCRD works closely with the Front Office and Agency leadership on a wide range of Agency policies, initiatives, and activities to support the agency in fostering Equal Employment Opportunity (EEO) and Diversity, Equity, and Inclusion. OCRD is made up of four divisions to include, the Diversity, Equity, and Inclusion (DEI) Complaints and Resolution (CR), Reasonable Accommodation (RA) and Program Support Operations (SPO) divisions

OCRD's DEI division manages the Agency's diversity, equity and inclusion program, which provides DEI training to USAID's workforce, manages the Agency's Affirmative Employment Program, including analyzing and reporting on Agency workforce EEO-related data, and collaborates across the Agency to institutionalize DEI.

The CR division manages the Agency's EEO complaints and Anti-Harassment programs, provides advice, guidance, and direction to USAID leadership and the workforce on the Agency's EEO responsibilities to help prevent and address allegations of discrimination and harassment in the workplace. It also administers the Agency's EEO complaint process, Alternative Dispute Resolution Program, and Anti-harassment Program.

The RA division manages the Agency's RA program, which provides technical advice, guidance, and recommendations to supervisors, managers and other management officials (e.g., Administrative Management Services Officers and Executive Officers) on requests for reasonable accommodations from USAID employees and applicants for employment.

The SPO division manages OCRD's human resources, financial transactions including budget and procurement, and the day-to-day operational needs of each division and program in support of it's Agency responsibilities. The SPO provides operations and communications programming to support the overall management and cohesiveness of OCRD's programs, activities and messaging. SPO serves as the internal and external communications arm of the office.

Responsibilities
  • Provide advisory services to program teams in the creation and dissemination of communications activities and communications products.
  • Support planning and execution of various OCRD events designed to promote OCRD activities, products and services.
  • Tracs and provide drafting and editing support for OCRD taskers including Congressional reports taskings, Front Office taskings, briefers, info memos, scheduling requests, executive messages, agency notices, etc.
  • Maintain timely and accurate records and status of tasks.
  • Assist with developing communication strategies, in collaboration with OCRD's leadership and program teams.
  • Support overall management of OCRD's webpage.
  • Strategically develop and disseminate communication materials to promote OCRD activities and products in accordance with Agency messaging and branding guidance.
  • Support general marketing and communication plans and campaigns; assists with creating outreach materials for Agency-wide distribution.
  • Support responses to customer feedback and engages in the development and implementation of customer service plans related to the communications function.
  • Provide technical support to OCRD leadership and program teams as necessary to accommodate customer services standards.
  • Support other OCRD communications activities as assigned.
  • Other duties as assigned

Qualifications
  • Bachelor's degree in communications, public relations, marketing or a similar field
  • 2+ Experience in professional communications or public relations experience.
  • 2+ Experience using digital technologies for communications, including graphic design for print and online communications products is required.
  • Experience with event planning and management

Knowledge, Skills and Abilities:
  • Ability to obtain a Secret clearance
  • Strong organizational and planning abilities
  • Webpage maintenance experience, particularly Drupal, is strongly preferred.
  • Development or international affairs experience preferred.
  • Understanding of USAID preferred.
