POSITION SUMMARY The Chief of Staff (CoS) will help manage the CEO's day-to-day workload and lead interdepartmental coordination to maximize organization-wide impact. They will oversee the operations of the CEO's office, manage the Board of Directors meetings/Committee & Subcommittee meetings, and facilitate senior team meetings. RESPONSIBILITIES CEO Office Management: Manage the office of the CEO, including schedules and agendas of key meetings Develop and manage CEO correspondence with individuals, board and others Vet meetings so that all participants, including the CEO are prepared and provide clear guidance on the purpose of the meetings. Ensure expected outcomes are communicated in advance to appropriate parties Represent the CEO/CEO's office as needed with key internal constituencies and external partners Ensure that those meeting with the CEO are properly prepared and required documents are available for review ahead of time Play a lead role in developing the Chief Executive Office yearly budget and overseeing management of that budget. Identify budget issues and propose corrective actions Interdepartmental Coordination: Organize and facilitate weekly meetings of the executive committee of the leadership team, prioritizing time-sensitive conversations, prepping speakers and team members to ensure clear and specific outcomes Coordinate bi-weekly global meetings of the leadership team and country directors, reviewing presentations in advance for clarity, tone and appropriateness Manage and oversee annual planning activities organization-wide Oversee progress on CI's fundraising campaign Serve as the conduit for decisions and information from the CEO office to other key departments - especially those that report directly to the CEO Serve as primary contact for internal working groups and committees that report to the CEO Board Management: Serve as a key liaison with the Board including, but not limited to, meeting agendas, key calls, decisions, and meetings Work and track the implementation of CEO and key organizational initiatives. Follow up on key deliverables and timelines Oversee and guide the Board of Directors/Committee/Subcommittee meetings and provide guidance and advice on Committee/Subcommittee meetings including agendas, topics for CEO updates, talking points, board materials, meeting locations, logistics, dinner program, and other related items. Work in tandem with Events team and office of the General Counsel on all Board Meeting activities WORKING CONDITIONS This position is based in Arlington, VA. Consistent work outside of normal business hours is expected, given the global nature of this position Domestic and international travel expected QUALIFICATIONS Required At least 10 years of experience providing executive, operational and project-related support to high-level executives Impeccable interpersonal and communication skills, both written and verbal Exemplary attention to detail Top-level leadership, emotional intelligence, and organizational skills Proven ability to work well with all levels of staff and external stakeholders, particularly in a global setting with well-developed cross-cultural skills Ability to motivate and influence high-level colleagues and drive toward clear outcomes Proven ability to work on multiple multi-dimensional projects at once in a high-pressure environment and meet deadlines Passion for conservation and the vision and mission of the company Preferred International work experience Experience in conservation and/or sustainable development
