Responsibilities

The selectee will serve as the principal Administrative Coordinator to the Office of Administration, to include supporting the Office Director and Deputy Director.

Duties will also include and are not limited to:

Use Microsoft Office to produce letters, memoranda, reports, presentation and other textual documents and performs a variety of office automation functions. Composes correspondence of a routine nature.

Review all correspondence and action items that are presented for the signature or concurrence of the Office Director or Deputy, assuring all material is proofread for grammatical correctness and confirms to the format, style, and appearances required for documents in accordance with office and agency procedures.

Receive incoming telephone calls determining the identity of the caller and nature of the call for the front office and divisions as necessary. Decide as to whether the call is of such importance that it may require the personal attention of the Office Director or Deputy, when appropriate.

Make arrangements for conference rooms, including space, time, appointment via electronic means, equipment, etc. Attend meetings upon request and prepares minutes for distribution to attendees in a timely manner. Handles official travel for the Director and Deputy, which includes itinerary planning, reservations, identifying points of contacts and prepares travel reconciliation.

Maintain the Office Director and Deputy calendars, making appointments using own discretion, and advises them of appointments meetings, etc. Coordinates and adjusts schedule as necessary to meet daily office itinerary.

Provide leadership and guidance to other administrative assistants, at the division and branch level, in coordinating office-wide activities and initiatives, and implementing new and existing agency-wide processes.

Qualifications

In order to qualify for this position, you must meet the following requirements:

Specialized experience for the grade 9 is defined as one year of experience at the GG-8 level or equivalent and includes experience that demonstrates the ability to provide a full range of administrative duties such as maintaining schedules; utilizing office automation tools such as ADAMS, HRMS, Microsoft Office applications; preparing/reviewing/editing correspondence; managing travel; performing timekeeper functions; and/or planning and coordinating meetings.

Specialized experience for the grade 10 is defined as one year of experience at the GG-9 level or equivalent and includes experience that demonstrates thorough knowledge and experience in providing guidance of a full range of administrative duties such as maintaining schedules; utilizing office automation tools such as ADAMS, HRMS, Microsoft Office applications; preparing/reviewing/editing correspondence; managing travel; performing timekeeper functions; and/or planning and coordinating meetings. Additionally, providing leadership and guidance to administrative staff to ensure consistency in implementing office-wide processes and initiatives.

The ideal candidate will be able to demonstrate the following:

1. Knowledge of planning, coordination, and execution of a variety of office functions such as action item tracking, calendar maintenance, and travel regulations. Displays a high level of initiative, effort, and commitment towards completing assignments in a timely manner, is motivated to achieve and demonstrates responsible behavior.

(EXAMPLE: Describe work experience, education, training and other activities that demonstrate your ability to provide administrative support to multiple senior leaders, and a major office function. Include how you are able to manage assigned tasks; carry out a variety of office functions; coordinate travel and reconcile expenses; maintain calendars; and plan on and off-site office wide meetings.)

2. Knowledge of computers, software applications, databases, and automated systems to accomplish work. Uses knowledge that is acquired through formal training or extensive on-the-job experience to perform one's job; works with, understands, and evaluates technical applications related to the job.

(EXAMPLE: Provide examples of utilization of Microsoft Office applications to produce tracking tools; produce presentations for internal and external audiences, ability to use analytical functions via formulas, pivot tables, etc.; managing multiple calendars and respond to emails managing multiple email accounts)

3. Anticipates and meets the needs of both internal and external customers. Delivers high-quality customer service; is committed to continuous improvement. Is open to change and new information; adapts behavior or work methods in response to changing conditions, or unexpected obstacles; effectively deals with uncertainty. Shows understanding, friendliness, courtesy, tact, empathy, concern, and politeness to others. Ability to professionally exercise diplomacy and tact in dealing with internal and external customers at all levels.

(EXAMPLE: Describe examples of providing customer service within a office function to include answering phones, communicating with internal and external customers. Provides flexibility in a dynamic environment.)

4. Influences, motivates, and challenges others; adapts leadership styles to a variety of situations. Develops and maintains effective relationships with others which includes peers and subordinates. Able to effectively function in group environments on projects; serve as principle administrative support to guide teams from varied backgrounds in different situations. Ability to perform accurately under pressure on occasions where there is limited time to accomplish a task.

(EXAMPLE: Describe examples of leadership, leading teams, influencing others, motivating others, project management, training, areas where you had to perform under pressure with limited time constraints, etc.)

5. Writes in a clear, concise, organized, and convincing manner for the intended audience. Recognizes or uses correct grammar, punctuation, formatting, and spelling; communicates information in a succinct and organized manner; produces written information, which may include technical material, that is appropriate for the intended audience.

(EXAMPLE: Demonstrate clear and concise written communication skills. Ability to proofread an array of documents to include technical material. Determine suitability of written communication to the intended audience. Ability to adjust tone of written communication base on the intended audience)
