Billing SpecialistSUMMARYHavtech is looking to add a Billing Specialist resource to our Accounting Department. The Billing Specialist is responsible for processing invoices and credits to customer accounts, while ensuring the accuracy and timeliness of the billing process.The ideal candidate for this position will be a collaborative professional with strong organizational skills and attention to detail.ESSENTIAL FUNCTIONS AND RESPONSIBILITIES include the following. Other functions may be assigned:Process daily invoices and credits to customers, utilizing our Accounting software, based on information provided by the Sales department(s).Process credit card payments and authorizations as needed.Distribute invoices and credits to customers via email or USPS, depending on customer's preference.Review and assess taxability of items sold and review tax-exempt certificates from customers for validity.Work with Credit Manager on internal questions regarding payment terms.Collaborate with internal parties (ie Sales department, Credit Manager, etc.) to identify and resolve issues.Perform root cause analysis of issues and develop sustainable countermeasures to avoid future occurrences.Identify and implement improvements in order to increase the efficiency of the billing process.Assure all daily, weekly, and monthly deadlines are met in the billing process.Perform special projects and other duties as assigned.REPORTS TOSenior Accounting ManagerSUPERVISORY RESPONSIBILITIESThis position has no supervisory responsibilities.QUALIFICATIONSAssociate's degree in Accounting, Finance or Business, or equivalent experience required.3 or more years of billing or relevant experience.Proficient in MS Office, intermediate proficiency in Excel. MS Dynamics GP experience is a plus.Working knowledge of sales tax and related best practices.Ability to learn new software and systems quickly.Excellent written and verbal communication skills.Keen attention to detail, adept at working with numbers accurately.Strong capacity to demonstrate accountability and proactively manage workload to meet deadlines in a fast-paced environment without oversight.Sharp critical thinking and problem-solving skills, ability to use good judgement and follow through.Ability to work independently and as part of a team to deliver outstanding customer service; team player attitude and desire to be a part of a strong accounting teamPHYSICAL DEMANDSThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
