Summary

About the Position: The incumbent of the Office Automation Assistant (or Office Automation Clerk for GS-04) position performs a variety of clerical/assistant work in support of the Fort Eustis Resident Office.

This position is a TERM position not to exceed three years. See the section Additional Information for further details.

This is a developmental position. Full Performance Level is at the GS-06 level.

Responsibilities

  • Performs a full range of office automation tasks such as attending to phone calls and faxes; arranging meetings; timekeeping; and preparing reports, copies, and notes.
  • Responsible for office record retention to include maintaining hard copy and electronic files, periodically auditing files, and working with staff to gather missing documents or correct discrepancies.
  • Manages the office Government Credit Card program.
  • Prepares travel orders and maintains travel folders for field employees and office personnel.

In order to qualify, you must meet the education and experience requirements described below. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. Your resume must clearly describe your relevant experience; if qualifying based on education, your transcripts will be required as part of your application. GS-04: General Experience: One year of general experience. General experience is progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position to be filled, such as: performing administrative functions such as arranging meetings; preparing a variety of correspondence with correct grammar, spelling, and formatting; providing non-technical information to customers; and performing clerical tasks such as filing, making copies, and inventorying office supplies.

Education: Two years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university.

OR

Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide your semester hours of by 60. Add the two percentages.

GS-05: Specialized Experience: One year of specialized experience which includes: performing office tasks such as answering calls, responding to inquiries, making copies, preparing correspondence in accordance with established regulation; inputting information into databases to record employees' time and attendance; preparing travel orders in accordance with established regulations; and maintaining an office file system in accordance with established regulations and standards.
This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-04).

OR

Education: Four years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university.

OR

Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide your semester hours of education beyond two years (total semester hours minus 60) by 60. Add the two percentages.

GS-06: Specialized Experience: One year of specialized experience which includes: utilizing office automation equipment and software to prepare travel orders, documents, or other correspondence, arrange meetings, and accurately record employees' time and attendance; maintaining an office file system to include filing accurately, revising the system as needed in accordance with regulations, and adhering to established Record Retention Policies; and managing a purchase card to order supplies and make official purchases.
This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-05).

Some federal jobs allow you to substitute your education for the required experience in order to qualify. For this job, you must meet the qualification requirement using experience alone--no substitution of education for experience is permitted.

Proficiency Required: This position requires a qualified typist. A qualified typist can type 40 words per minute based on a 5 minute sample with three or fewer errors.

    (1) Incumbent demonstrates ability to perform at target grade level;
    (2) Higher level work exists at target grade level;
    (3) Increased responsibilities are assigned;

This position is a TERM position, not to exceed 3 years, and may be made permanent without further competition.

Position may be filled by temporary promotion or temporary reassignment NTE 3 years, if a current permanent Army employee.

Temporary promotion/reassignment may be extended up to a maximum of 5 years.

Position may be filled as a term appointment NTE 3 years, if the candidate is not a current permanent Army employee. A term position may be extended to a maximum of six years depending upon the needs of management.
